Job summary

Job Objective

Coordinates the care of the patient from escorting patient to exam room, performing vital signs, preparing patient for exam and discharge and ensures the accurate documentation of patient care activity. Schedules surgeries/procedures across multiple department and facilities providing timely, efficient and customer friendly service. Accurately captures the need for other scheduled services or needs associated with the scheduled case and communicates appropriately.

Education: Required: High school diploma, GED or higher level degree and Medical Assistant course completion if hired after March 1, 2025 Licensure/Certification: Required: American Heart Association BLS Preferred: Medical Assistant Certification Experience: Required: Two (2) years of experience in a medical practice/clinic or scheduling in healthcare Reports To: Manager, Director or Chief Administrative Officer Supervises: N/A Ages of Patients (as assigned): Adolescent, Adult, Geriatric Blood Borne Pathogens: Minimal/ No Potential Skills, Knowledge, Abilities: Ability to adapt quickly to changing priorities and unexpected situations, Ability to communicate and interpret using medical terminology, Ability to create a welcoming environment for patients and visitors, demonstrating empathy and respect in all interactions, Ability to effectively communicate in a positive and professional manner, Ability to handle difficult and stressful situations in a calm and professional manner, Ability to operate general office equipment (i.e., computer, printer, scanner, telephone, etc.), Ability to organize information or data to facilitate easy retrieval and use, Ability to successfully complete training orientation program(s) and competencies, Ability to use Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other relevant software applications, Basic knowledge of insurances, including eligibility and benefit coverage, and other relevant information, Critical thinking skills, Knowledge of Epic scheduling, registration and communication tools, Self-starter; driven to take action without needing prompting, Written and verbal communication skills

Essential Responsibilities
  • 1. Demonstrates compliance with Code of Conduct and compliance policies, and takes action to resolve compliance questions or concerns and report suspected violations.
  • 2. Assists patients to exam/procedure rooms; obtains medical and social history, vital signs, height and weight, allergy information, medication reconciliation information and records data in electronic health record (EHR); records information accurately and timely in EHR.
  • 3. Assists providers by ensuring that appropriate preparation, examination and diagnostic testing occur without error and without delay.
  • 4. Processes patient referrals to other provider offices.
  • 5. Prepares patient electronic medical record (EMR) charts timely and accurately.
  • 6. Gathers reports, labs, studies or other data pertinent to upcoming patient appointments.
  • 7. Places order for films, labs and other studies as appropriate, timely and accurately.
  • 8. Collaborates with patient scheduling and schedules patients as needed.
  • 9. Answers all patient questions and requests timely and appropriately.
  • 10. Faxes and copies necessary information to insurance companies, other provider offices and facilities as necessary.
  • 11. Responds to patient pharmacy requests in collaboration with providers.
  • 12. Answers phones, retrieves voicemail messages and returns calls timely and appropriately.
  • 13. Maximizes use of free time between patients by cleaning and stocking rooms, copying documents and filing; assists with medical and office supplies inventory and/or ordering.
  • 14. Obtains provider or patient signatures on appropriate documents.
  • 15. Accepts responsibilities only within scope of practice.
  • 16. Maintains and practices professional boundaries with all patient interactions.
  • 17. Schedules surgery/procedures with assigned physician at appropriate facility or department; initial scheduling and rearranging surgical patients based on surgeon preference and/or facility needs; lifts surgeon blocks to improve utilization of time.
  • 18. Verifies insurance and authorizations for surgeries.
  • 19. Audits patient charts for completeness/accuracy prior to scheduling with appropriate facility or department.
  • 20. Schedules accurately to prevent operative/procedural delays and case cancellations.
  • 21. Captures physician requests for scheduling STAT cases and attempts to complete within 72 hours.
  • 22. Acts as liaison to patient during the scheduling process providing and communicating information on surgical/procedural date/time, itinerary, maps/directions and important information necessary for a positive experience.
  • 23. Arranges pre- and post-operative appointments for assigned patients.
  • 24. Processes patient communication; written, verbal, patient consults, data input, problem delegation/resolution and process improvement.
  • 25. Organizes work time in order complete tasks in assigned timeframe; identifies and escalates issues as appropriate, to leader in a timely manner.
  • 26. Schedules interviews for appropriate departments prior to intervention/surgery, if applicable.
  • 27. Acts as revenue custodian by accurately completing and processing case updates, procedures and supply charges for assigned department(s), if applicable.
  • 28. Performs other duties as assigned.
