Job Summary
Supervises agency medical assistants, provides back-up floating medical assistant coverage as needed, schedules client appointments, and manages medical charts and related information.
Schedule: Weekdays, 1st Shift
Essential Job Functions
- Adheres to all applicable state and federal regulations; ensures compliance with the organization’s policies, procedures, code of conduct, and all regulatory requirements.
- Interviews, hires, and trains new medical assistants.
- Provides bi-weekly/monthly supervision of medical assistants.
- Oversees management and distribution of phone call volume for nursing, especially during transitions or staffing shortages.
- Routes medication refill requests for four facilities.
- Ensures accuracy of outcomes for provider appointments.
- Manages time off requests to ensure adequate coverage.
- Screens incoming calls for medical staff and ensures prompt responses, aiming to return calls the same day.
- Schedules medical staff appointments and client services, including meetings and time off.
- Distributes Massachusetts Awareness Prescription Assessment Tool (MassPATs) to staff.
- Assists nursing with prior authorization documents and obtains lab results as needed.
- Procures toxicology samples and collaborates with staff and clients on referrals.
- Acts as point of contact for insurance authorizations and arranges non-emergency transportation.
- Responds to medication inquiries, manages prior authorizations, and prepares refill requests.
- Monitors vitals as requested.
Qualifications
- High School diploma, GED, or Associate’s degree.
- At least 4 years of experience in a medical office, with 2-3 years in office management preferred.
- Certified Medical Assistant preferred.
- Proficient in computer skills.
- Ability to work with diverse communities and support DEI initiatives.
- Maintain professionalism and confidentiality.
- Work effectively in a team and fast-paced environment.
- Manage multiple projects with attention to detail and accuracy.
- Handle multiple phone lines and enter information accurately.
- Learn electronic medical record systems.
- Valid driver’s license and insured vehicle for agency work.
