Job summary

Northeast Community Clinic in Los Angeles is seeking an experienced front desk/clinic receptionist to manage calendars, answer calls, and schedule patient appointments. You will provide information and coordinate patient care efficiently.

Responsibilities include taking messages, following up on appointments, and logging communications. Required qualifications include Medical Assistant CMA, high school diploma, bilingual English/Spanish, and active BLS.

Qualifications

  • Medical Assistant certificate or CMA required.
  • High school diploma or GED equivalent required.
  • Current BLS certification required.
  • Valid state ID required.
  • Must maintain active clinical privileges and meet credentialing requirements.

Responsibilities

  • Manage clinic calendars in practice management system.
  • Accept and confirm patient appointments by telephone.
  • Conduct outbound calls for follow-up and reminders.
  • Document patient complaints and report to supervisor.
  • Update and maintain logs of patient calls and appointments.
  • Other duties as designated by Clinic Manager or Operations Director.
  • Answer calls, provide information, and log messages for departments.

Manages clinic calendars to ensure patient appointments are scheduled in an efficient and productive manner, providing excellent customer service. Responsible for operating a multi-line switchboard, operates in house paging system in a professional manner and maintains a general information center for the facility.

Schedule
  • Flexible, may require some evening and weekends
Primary Duties And Responsibilities
  • Work in practice management system database calendar for clinic site
  • Accept and confirm patient appointments over the telephone
  • Conduct outbound phone calls for follow-up appointments and reminder patient appointments
  • Conduct patient care surveys for patient care reports
  • Documents and reports patient complaints and grievances to supervisor for appropriate corrective action plan
  • Update and maintain logs of patient phone calls and appointments
  • Other duties as designated by Clinic Manager or Operations Director
Secondary Duties And Responsibilities
  • Answers telephone, take messages, schedule appointments and provide general agency and/or program information
  • Log calls for different departments
  • Open and distribute mail accordingly.
Qualifications
Minimum Requirements
  • Microsoft Office/Word/Excel/Outlook
  • Excellent Communication Skills
  • Excellent Customer Service Skills
  • Bilingual English/Spanish required
  • Ability to work as a team player and work independently
  • Reliable transportation
  • Must be able to travel from facility to facility
  • This position requires 10% travel outside the local area.
Required Education/Experience And/or Licensure/Certification
  • Medical Assistant Certificate or Certified Medical Assistant
  • High school diploma or GED equivalent
  • One (1) year minimum customer service experience, preferably in a medical setting
  • Current BLS Certification
  • Valid State Identification
  • Must maintain active clinical privileges and meet all credentialing & privileging requirements at all times to include, but not limited to, regularly scheduled performance of clinical duties and maintain active and current applicable licenses, certification, diplomas and trainings.

Physical Requirements And Working Conditions
  • OSHA Category 1 – Involves exposure to blood, body fluids, or tissues.
  • The work is majority of the time non-sedentary in nature.
  • The employee is regularly required to communicate, frequently required to use repetitive motions, move, remain stationary, regularly push, pull and lift up to 20 pounds and occasionally push, pull and lift up to 40 pounds.
  • Must possess mobility to work in a standard office/clinic setting (in some cases both settings) and to use standard office/clinic equipment, including a computer, stamina to maintain attention to detail despite interruptions, read printed materials and use a computer, and communicate in person and over the telephone.
