About the Role
As a Medical Assistant at Tailored Health, you’ll play an important role in the entire patient experience; from preparing for appointments and supporting the physician, to phlebotomy, lab coordination, patient communication, and follow-up. Because we are a small, close-knit practice, this is a hands‑on role where reliability, attention to detail, initiative, and genuine care for patients make a direct difference every day. We’re looking for someone who enjoys working as part of a team, building relationships with patients, taking ownership of day‑to‑day office needs, and prioritizing the patient experience.
Key Responsibilities
- Help deliver a warm, personalized patient experience while maintaining professionalism with patients.
- Provide clinical and administrative support to the physician and help maintain an efficient daily workflow.
- Perform phlebotomy, specimen collection, and laboratory processing with a high level of accuracy.
- Assist with physical examinations, preventive care, EKGs, vision and hearing screenings, and routine in‑office procedures.
- Coordinate referrals, diagnostic testing, imaging, prescriptions, and prior authorization workflows.
- Support insurance and billing‑related processes, and help patients navigate any basic insurance questions they may have.
- Maintain accurate clinical documentation, medication information, laboratory orders, and patient records.
- Communicate professionally and promptly with patients, providers, laboratories, imaging centers, pharmacies, and other outside facilities.
- Proactively identify patient and practice needs, solve problems, and contribute to the smooth operation of a small medical practice.
- Maintain compliance with HIPAA, OSHA, infection‑control standards, and practice policies.
Day‑to‑Day Operations
- Patient Intake & Clinical Support: Review the daily schedule; greet and room patients; verify demographics; obtain vital signs, measurements, medication histories, allergies, and reason for visit; and document accurate clinical information in the EMR.
- Clinical & Preventive Care Support: Assist the physician with physical examinations, EKGs, vision and hearing screenings, routine in‑office procedures, wound care, and other clinical tasks within scope and under appropriate medical direction.
- Basic Patient Assessment: Perform basic patient assessments, recognize and document relevant symptoms or changes, and communicate pertinent findings to the physician for evaluation.
- Phlebotomy & Laboratory Services: Perform high‑quality venipuncture, specimen collection, labeling, handling, and processing; accurately prepare lab requisitions and orders; and coordinate laboratory logistics.
- Medication Support: Assist with medication reconciliation, injections and vaccinations as permitted within scope and under appropriate medical direction, and prescription/refill workflows.
- Care Coordination: Coordinate referrals, diagnostic imaging, testing, prior authorizations, while ensuring appropriate communication between patients, providers, and outside facilities.
- Patient Follow‑Up: Help ensure continuity of care and a smooth patient experience by tracking and following up on labs, imaging, referrals, orders, and patient requests.
- Patient Communication & Service: Respond to patient phone calls, portal messages, and routine clinical questions professionally and promptly with a personalized‑level patient experience.
- Technology & Digital Workflows: Efficiently use our straightforward EMR/EHR, patient portals, CRM systems, scanners, fax systems, and other digital office and communication tools.
- Compliance & Documentation: Maintain strict patient confidentiality and follow HIPAA, OSHA, infection‑control, documentation, and practice policies and procedures.
What We’re Looking For

- Strong clinical skills: Solid Medical Assistant fundamentals, with good phlebotomy, specimen handling, lab processing, vital signs, basic patient assessments, and clinical support skills.
- Physical exam support: Comfortable assisting with physicals, EKGs, vision/hearing screenings, and routine in‑office procedures.
- Insurance & billing knowledge: Understands basic insurance concepts including benefits verification, deductibles, medication coverage, when prior authorization may be required, and a general familiarity with ICD-10 and CPT codes.
- Detail‑oriented: Takes care with medication information, lab orders, requisitions, documentation, and patient records.
- Proactive team player: Thinks ahead, solves problems, manages competing priorities, and is willing to learn.
- Service‑minded: Comfortable working with patients who value a warm, professional, personalized patient experience.
Required Qualifications
- High school diploma.
- National Medical Assistant certification required.
- 2 years + of Medical Assistant experience preferred; qualified recent graduates may be considered.
- Basic understanding of healthcare operations, patient privacy, and medical terminology.
- Ability to work effectively in a small, fast‑paced medical practice.
- Reliable transportation required.
Preferred / Bonus Experience
- Experience in cardiology.
- Experience in functional medicine.
- Experience in concierge medicine, executive health, or another high‑touch healthcare environment.
- Experience with EHR/EMR systems, patient portals, CRM platforms, and medical billing/insurance workflows.
- Familiarity with ICD-10 and CPT coding.
- Experience with referrals, diagnostic imaging, laboratory coordination, and prior authorizations.
