Job summary

Pediatric Home Service in Cleveland, OH, is hiring a full-time Admissions Representative to join our customer-focused team. You will perform intake of Durable Medical Equipment (DME) via Brightree, coordinate new product requests, and support the CS helpdesk and on-call staff.

The role requires strong organizational and communication skills, the ability to multi-task, and a patient-centered approach to medically complex children and families.

Qualifications

• High school diploma or 0–6 months of related experience or training; equivalent combination accepted.
• DME intake/medical admissions experience preferred.
• Exceptional organization, multitasking, problem solving and communication with strong initiative and customer focus.

Responsibilities

• Perform intake of Durable Medical Equipment (DME) through Brightree database.
• Coordinate the New Product Request process.
• Coordinate activities of the Customer Service (CS) helpdesk.
• Perform duties of the Coordinator of the Day (COD).
• Obtain new patient referrals, supporting documentation and insurance information.
• Obtain insurance benefits and complete data entry requirements.
• Obtain ongoing patient supply orders and prescriber orders.
• Enter new prescriber information and coordinate intake for specialized organizations.

• Position: Admissions Representative
• Location: Cleveland, OH
• Hours: Monday -Friday, 8 am- 5 pm, On site/in office

THE POSITION:

We are looking for a full-time Admissions Representative to join our customer-focused, supportive team. Our Customer Service department is a fast-paced, high-energy environment and you’ll find yourself challenged and required to use critical thinking every day. You will also be surrounded by a close-knit and supportive group who has the same dedication to serving medically fragile children and their families.

• Performs intake of Durable Medical Equipment (DME), through the Brightree database
• Coordinates the New Product Request process
• Coordinates activities of the Customer Service (CS) helpdesk
• Performs duties of the Coordinator of the Day (COD)
• Obtains new patient referrals, supporting documentation and insurance authorization information as required for products and services provided by PHS
• Obtains insurance benefits & completes data entry requirements
• Obtains ongoing patient supply orders and prescriber orders for products and services provided by PHS
• Completes patient and prescriber information changes
• Maintains all patient information on an ongoing basis
• Enters new prescriber information into database
• Coordinates intake process for specialized organizations
• Supports evening and Saturday on-call staff
• Addresses complaints concerning billing or service rendered, referring complaints of service failures to designated departments for investigation
• Reads prescriber orders, customer orders, work orders and shipping orders to determine items to be moved, gathered, or distributed
• Coordinates service for evening deliveries
• Processed and coordinates paperwork from items delivered for intake; Prepares patient paperwork for billing

REQUIREMENTS:

• High school diploma or 1–6 months of related experience and/or training, or an equivalent combination of education and experience
• Durable medical equipment (DME) intake/medical admissions experience preferred
• Exceptionally organized, multi-tasking, problem solving and communication and strong keyboard skills; High level of initiative combined with a customer service mentality is also required.
• Experience in Brightree EHR preferred
