Qualifications

  • Should be client-driven and understand internal and external customers' needs.

Responsibilities

  • Manage daily inventories and all receiving/distribution processes.
  • Coordinate daily operations including distribution, inventory, equipment, and record keeping.
  • Ensure items have proper information for prompt delivery and that orders are approved.
  • Verify orders against packing slips and purchase orders; scan into COUPA or inventory system.
  • Aid surgery staff in preparing supplies for next-day cases and stock patient care areas to par levels.
  • Negotiate vendor agreements for best price and terms; maintain supplier relationships.

POSITION OVERVIEW:

This de novo ASC, located in Grand Prairie Texas, will be a premier center for orthopedic surgery, led by highly sought-after surgeons from one of the region’s leading orthopedic practices. The ideal candidate will have a proven track record of successfully supporting healthcare operations through effective materials management, with at least three years of experience as a Materials Manager in a hospital, surgery center, or high-volume physician practice.

The Materials Manager will manage vendor relationships to maximize service levels, minimize acquisition costs and increase inventory turnover. Responsible for material/disposable planning, scheduling, purchasing and production/inventory control systems. Ensure that the Center has the supplies, instruments and equipment they need when they are needed and that special patient care needs are met promptly and efficiently.

GENERAL SUMMARY OF DUTIES:

  • Responsible for the daily management of all inventories and all processes related to receiving and distribution of supplies and equipment.
  • Coordinated daily departmental operations which include distribution, inventory, equipment and record keeping of supplies and services.
  • Assure items ordered have the proper information to assure prompt delivery.
  • Assures that proper authority is obtained for all orders.
  • Assures that orders received are accurately checked against packing slips and purchase orders for accuracy and scanned into COUPA or the electronic inventory software the facility uses.
  • Aid surgery staff in preparing supplies for next-day cases.
  • Assure patient care areas are stocked to par levels.
  • Enforces tag out-lock out policy for malfunctioning equipment and arranges repairs.
  • Direct the development and maintenance systems for selecting and approving substitute and/or replacement materials.
  • Negotiate for vendor agreements ensuring the best price and terms for ASC or ensuring HPG pricing.
  • Maintain inventory levels to provide good asset turnover.
  • Create a good working relationship with all key
  • Set-up standards for placing purchase orders.
  • Place, expedite and close all purchase orders as needed.
  • Monitor purchase orders to ensure prompt delivery.
  • Handles return of all excess or incorrect items received.
  • Set-up primary suppliers for all items.
  • Review these at least once per year for price, competitiveness, quality, and delivery.
  • Set-up and keep active system of backup suppliers for all items bought.
  • Set-up method for tracking supplier performance. (Quality, Delivery, Price)
  • Continuously work with clinical areas to support correct inventory levels for all stock items.
    • Manages cycle counting program to ensure inventory accuracy.
    • Manages shipping and receiving to ensure accuracy of inventory
    • Follows established company policies and procedures.
    • Performs job following the company’s injury prevention prog
    • Performs other duties as assig

REQUIREMENTS/QUALIFICATIONS:

  • High School graduate or equivalent.
  • Bachelor’s in operations management, business, or another related field preferred.
  • Three years’ experience as Materials Manager for a hospital, surgery center or high- volume physician’s office.
  • Excellent organizational, written, computer, and verbal communication skills
  • Should be very client-driven and understand internal and external customers' needs.

KNOWLEDGE, SKILLS and ABILITIES:

  • Knowledge of healthcare products, stock rotation procedures, storage systems, inventory supplements, preference card management and credit.
  • Working knowledge of Materials Management module in Center’s PC based system.
  • Knowledge of medical terminology as it relates to healthcare products.
  • Knowledge of inventory control procedures.
  • Direct, an initiative-taker with the ability to multi-task, be detailed oriented and possess superior organization and communication skills.
  • Must be able to manage a large volume of detailed work accurately.
  • Must have working knowledge of Microsoft Office products.
  • Must have superior leadership, communication and organizational skills.
  • Must be able to bend, stoop, lift, and oversee all supplies.
  • Must have a strong ability to interact with co-workers, vendors, and management on a regular basis and in a pleasant and efficient manner.
  • Ability to perform simple mathematical functions.
