Baylor Surgicare Fort Worth I Materials Coordinator

We are hiring a Materials Coordinator to support our surgical team. The role involves managing supply orders, inventory, and vendor relationships to ensure availability of necessary materials for patient care.

Key Responsibilities
  • Order general orthopedic, specialty orthopedic, anesthesia supplies, and office supplies.
  • Process all invoices for approvals to the Materials Manager.
  • Deliver supplies and equipment to stock and patient care areas.
  • Communicate with business office staff, patient care staff, OR staff, and physicians regarding supply needs and changes.
  • Enter requisitions and purchase orders into ENVI; follow up on backorders, release dates, and substitutions.
  • Maintain adequate stock levels, rotating inventory with FIFO.
  • Review patient charts for applicable implants; enter implant logs into ENVI for accurate insurance billing per USPI guidelines.
  • Receive, inspect, and verify supplies and equipment; accurately process purchase orders, picking slips, and invoices.
  • Conduct daily par level analysis, coordinate vendor returns, and obtain price quotes.
  • Maintain the computer inventory system, update pricing, bin labels, and locations in ENVI.
  • Train departmental staff on inventory procedures and conduct spot and quarterly audits.
  • Prepare inventory documents for audits; review and forward monthly accrual logs to the Materials Manager.
  • Meet with vendor sales reps about new products, invoices, and delivery orders.
  • Coordinate with OR Nurse Manager to order specials for surgeries and with the Insurance Verification team to ensure profitable implant handling.
  • Identify savings opportunities through negotiation, substitutions, contract calls, and other cost‑saving techniques.
  • Manage recalls, notifying staff, returning products, and filing paperwork.
  • Maintain linen supply and stock linen shelves.
  • Perform additional duties as assigned.
Qualifications
  • High school graduate or equivalent education.
  • Minimum two years of receiving and inventory experience in a health care environment.
  • Strong customer service and communication skills.
  • Proficient in math and counting; minimum typing speed of 40 words per minute.
  • Computer proficiency (Microsoft Office, Outlook, Word, Excel).
  • Ability to lift up to 50 pounds unassisted and perform repetitive tasks safely.
  • Capacity to stand, bend, twist, squat and lift heavy items above shoulders.
  • Experience working in a clean, sterile environment.
