Job summary

MedHQ's brand-new Ambulatory Surgery Center in Charlotte, NC is seeking a detail-oriented Materials Manager to ensure the supply chain supports our clinical team with timely purchases, inventory control, and vendor coordination.

You will manage purchasing, receiving and inventory of medical and office supplies, monitor levels, evaluate pricing, and collaborate with the Administrator and Nursing Director to keep ORs stocked and operations efficient.

Qualifications

  • High school diploma or GED.
  • Minimum of two (2) years of experience in materials management, purchasing, or supply chain within a healthcare setting.
  • Strong computer skills with the ability to utilize purchasing, inventory management, spreadsheets, email, and other business software.
  • Excellent organizational, communication, and problem-solving skills.
  • Ability to prioritize multiple responsibilities in a fast-paced environment.

Responsibilities

  • Manage purchasing, receiving, and inventory of all medical and office supplies.
  • Maintain appropriate inventory levels utilizing just-in-time inventory practices.
  • Monitor inventory counts and replenish supplies as needed.
  • Evaluate product quality, pricing, and vendor performance.
  • Work with vendors and sales representatives to negotiate pricing and resolve supply issues.
  • Follow up on backorders and communicate delays or shortages to leadership.
  • Review upcoming surgical schedules to anticipate supply and equipment needs.
  • Coordinate specialty equipment and supplies to support scheduled procedures.
  • Assist with operating room setup and maintain an organized OR environment.
  • Track loaned instruments and equipment, ensuring timely return and complete inventory.
  • Coordinate equipment and instrument repairs as needed. Maintain an accurate charge capture system for surgical supplies and collaborate with clinical staff on updates.
  • Report invoice discrepancies to the Administrator prior to payment and assist with the accounts payable process.
  • Utilize inventory management and purchasing software to maintain accurate records.
  • Communicate supply concerns and operational issues to the Administrator and Director of Nursing.
  • Demonstrate professionalism and provide excellent customer service when interacting with physicians, staff, vendors, patients, and visitors.
  • Perform other duties as assigned.

Please Note: This position is for a brand-new Ambulatory Surgery Center (ASC) opening. Due to the specialized nature of this role, candidates must have prior healthcare experience, with ASC experience strongly preferred. Applicants without healthcare or ASC experience will not be considered.

Join Our Team

We are seeking a highly organized and detail-oriented Materials Manager to join our ambulatory surgery center. This individual plays a critical role in ensuring our clinical team has the supplies, equipment, and inventory needed to provide exceptional patient care. The ideal candidate is proactive, organized, and experienced in purchasing, inventory management, and vendor coordination within a healthcare environment.

Working closely with the Administrator and Director of Nursing, the Materials Manager is responsible for maintaining appropriate inventory levels, managing purchasing activities, coordinating specialty equipment, and supporting efficient daily surgical operations.

Essential Responsibilities

Physical Requirements
  • Ability to lift up to 50 pounds regularly and up to 100 pounds occasionally with assistance as needed.
  • Ability to stand and walk for extended periods throughout the workday.
  • Frequent bending, reaching, squatting, and use of hands for handling equipment and supplies.
  • Ability to work a flexible schedule based on the daily surgery schedule.
Work Environment

This position is based in a clean, fast-paced ambulatory surgery center. The Materials Manager works closely with clinical and administrative staff to support daily surgical operations and may occasionally be exposed to moving equipment, cleaning agents, and other healthcare-related environmental conditions. Adherence to infection prevention and safety protocols is required at all times.
