Our client, a Medical Center facility under the aegis of a California Public Ivy university and one of the largest health delivery systems in California, seeks an accomplished Materials Management Specialist.

Position: Materials Management Specialist (Job Id -3031218)

Duration: 2-3 Months + Strong Possibility of Extension

• Education: Bachelor's degree in related area and/or equivalent experience/training preferred.
• Experience: 3+ years experience in materials management, OR, purchasing, or accounting.

Responsibilities and Duties

• Establishes and maintains acceptable inventory levels of owned and consigned implants and arranges for loaner implants and instruments when indicated by patient care requirements according to standard departmental inventory management practices to meet the needs of the surgical patient.
• Secures inventory, replenishes owned and consignment inventory through PMM inventory manager, matches implant usage with patient charge forms and inventory issues to confirm that patient billing has occurred. Responsible for on-call coverage with other Implant Coordinators.
• Works with clinical service coordinators and reviews the Surgical Schedule in advance to anticipate the need for implants and loaned instruments.
• Receives and identifies loaned instruments and implants, accounts for their usage, charging, documentation and ensures vendor payment according to the departmental “bill only” practice. Follows internal policy for the introduction of new products and utilizes Rapid Cycle approval when necessary.
• Works collaboratively with the Patient Care Managers, Clinical Service Coordinators, and operates under the direction of the Implant Manager.
• Meets patient care and customer service expectations; fosters a harmonious work environment and demonstrates willingness to learn new skills.
• Demonstrates professional judgment and applies theory to practice; independently performs the full range of responsibilities within the function; analyzes problems and determines solutions.
• Handles complex procurement assignments requiring analysis of OR schedules and surgeon requests; has authority to make purchase requisitions within broadly defined dollar limits.
• Determines the most effective methodology to acquire requested implants, including tissue, using sound procurement practices.
• Receives general day-to-day guidance with more complex or unique implant requisition assignments; resolves issues with good judgment in line with Joint Commission requirements and organizational policies.

Key Responsibilities

• Responsible for implant acquisition and disposition using acceptable Materiel Services and OR business practices.
• Reviews surgical schedule in advance to identify future implant requirements; collaborates with Clinical Service Coordinators and vendors to identify needed implants for patient care.
• Manages procurement, receiving, storage, distribution, sterilization and documentation with vendors and SPD; conducts cycle counts and reconciliations.
• Maintains accurate patient charging through exception noting and review of records.
• Consults with vendor representatives and Operating Room POD managers regularly.
• Supports the product recall program in coordination with Materiel Services and OR Management.
• Acquires and maintains basic technical understanding of commonly purchased products.
• Follows policies, procedures, and internal controls for all material functions associated with surgical implants (owned, loaned, consignment).
