Position Overview

The Materials Expediter keeps open purchase orders moving from PO placement through receiving, inspection and stock, so material is ready for kitting on schedule. The role supports the Buyers and the Receiving/Stockroom team by owning day-to-day open order follow-up, flagging delivery risks early, and driving them to resolution.

This is an entry-level position in an AS9100 and ISO 13485 certified electronics manufacturing environment. It is designed as a development path toward a Buyer role.

Key Responsibilities

Open order management

  • Maintain the open PO report daily; review every line against need dates from MRP and the build schedule.
  • Obtain and record supplier acknowledgments, confirmed ship dates and tracking numbers for all open lines.
  • Keep PO notes current in the MRP system so status is visible to Buyers, Planning and Production.
  • Identify past-due, at-risk and unacknowledged lines and prioritize follow-up by build impact.

Expediting and escalation

  • Contact suppliers by phone and email to pull in or confirm deliveries on critical and shortage parts.
  • Escalate unresolved delivery issues to the responsible Buyer with a clear summary: part, PO, need date, supplier response and options.
  • Arrange and coordinate supplier calls or meetings when issues need Buyer or management involvement; take notes and track action items.
  • Track shortages against upcoming kits and communicate expected arrival dates to Production and Planning.
  • Support Buyers with routine supplier requests such as quote follow-ups, certification requests (CoC, test reports) and documentation for incoming orders.

Receiving, inspection and kitting flow

  • Monitor inbound shipments and alert Receiving to hot parts so they are prioritized at the dock.
  • Work with Receiving and Inspection to move material through receipt, incoming inspection and put-away without delay.
  • Help resolve receiving discrepancies (quantity, part number, packaging, missing paperwork) with suppliers and Buyers.
  • Follow up on rejected or non-conforming material and support the NCMR and return-to-vendor process.
  • Confirm shortage parts reach the stockroom and kits so builds can release.

Reporting and continuous improvement

  • Produce weekly status reports on past-due POs, shortages and supplier delivery performance.
  • Track supplier on-time delivery and recurring issues to inform supplier reviews and the ASL.
  • Suggest improvements to expediting and open-order processes and tools.
  • Follow all quality system, traceability and documentation requirements (AS9100 / ISO 13485).
Required Qualifications:
  • High school diploma or equivalent.
  • 0–2 years of experience in purchasing, expediting, customer service, logistics, warehouse or another operations support role.
  • Working proficiency in Excel (filters, sorting, basic formulas) and Outlook.
  • Clear, professional phone and email communication with internal and external contacts.
  • Strong follow-through and the ability to track many open items at once.
  • MUST BE A US PERSON.
Preferred qualifications
  • Associate's or bachelor's degree in supply chain, business or a related field.
  • Experience in electronics manufacturing, contract manufacturing or another regulated industry (aerospace, medical).
  • Familiarity with electronic components, distributors and part numbering.
  • Experience with an MRP/ERP system and purchase order workflows.
  • Exposure to AS9100 or ISO 13485 quality systems.
ADA REQUIREMENTS:

The key physical requirements for this position include the ability to use standard office equipment including PC’s and copy machine, movement within a standard office and distribution warehouse area, walking, sitting, standing, climbing, carrying, pushing/ pulling and lifting 1–30 pounds occasionally.
