What are Trust Fund Positions?
Trust Fund positions are unique to the Smithsonian. They are paid for from a variety of sources, including the Smithsonian endowment, revenue from our business activities, donations, grants and contracts. OVERVIEW
This position is located in the Marketing Unit, Office of Communications and External Affairs (OCEA) at
the Smithsonian Institute (SI). The Smithsonian's Marketing Unit is responsible with increasing brand awareness through SI-wide marketing efforts ranging from paid advertising to audio storytelling with Sidedoor, the Smithsonian's flagship podcast, to supporting all Smithsonian museums and research centers with dedicated marketing efforts.

DUTIES AND RESPONSIBILITIES
The Marketing Project Manager outlines the project's scope, requirements, timeline, budgeting and deliverables. This includes acquiring resources and coordinating the efforts of team members and third party contractors or consultants to deliver projects according to plan.
Project Planning and Management (30%)
• Define project scope, goals, and deliverables that support special marketing project goals in collaboration with leadership and stakeholders.
• Develop full-scale project plans and associated supporting documents.
• Introduce and maintain efficient systems for tracking projects and deliverables.
• Effectively communicate project expectations to team members and stakeholders in a timely and clear fashion.
• Support the oversight of resource allocation, including personnel, contractors, and materials, to ensure project goals are achieved.
• Estimate the resources and participants needed to achieve project goals.
• Support the Marketing Manager with the budget management and forecasting for special projects
• Support the preparation of national advertising campaigns including the research of appropriate paid media outlets, work with graphic designers, photographers, videographers and vendors.
• Identify and develop marketing partnerships to promote and reach new local and national audiences.
• Supports the development of special marketing projects.

Project Monitoring and Reporting (30%)
• Tracks marketing project milestones and deliverables. Introduce an efficient work system for project management and project tracking for the marketing team.
• Develops and delivers progress reports, proposals, requirements documentation, and presentations.
• Determines the frequency and content of status reports from the project team, analyze results, and troubleshoot problem areas.
• Proactively manage changes in project scope, identify potential crises, and devise contingency plans.
Stakeholder Management (30%)
• Builds, develops, and grows any business relationships vital to the success of the projects.
• Collaborates with OCEA team members to remove any barriers for efficient work systems. Supports and nurtures the team's many relationships with colleagues across the Smithsonian.
• Conducts project reviews to create reports to identify successes and failures in comparing the project's outcomes against its objectives, requirements and providing recommendations to improve future projects.
Team Facilitator (10%)
• Provides comprehensive presentations or briefings on project expectations to team members and stakeholders.
• Emphasize critical aspects such as project goals, roles and responsibilities, deadlines, and quality standards.
• In coordination with the Marketing Manager, assigns project tasks to members of the team, explaining roles and responsibilities.
• Coordinates with team members that tasks are completed efficiently.
• Identifies and resolves issues and conflicts within the project team.

QUALIFICATION REQUIREMENTS
Education (if positive education is required) and Experience: Example: To qualify for this position, applicants must possess a bachelor’s degree (B.A.) from an accredited four-year college or university and/or 3-5 years of related experience (described below); or an equivalent combination of education and experience.

(Example) Experience required for this position is as follows:
Knowledge of the latest brand marketing methods, techniques and practices and the creativity and ingenuity to develop new concepts and approaches.
Knowledge and ability to apply strategic planning techniques in a dynamic environment.
Knowledge and ability to leverage offline and online mediums/channels to facilitate effective brand marketing programs and messages.
Knowledge of project management methodologies such as Agile, Waterfall, and Lean project management to create, improve, or upgrade marketing products.

The role involves working with various functions and activities related to the Si's branding, marketing, and promotion. This includes developing and executing plans and budgets for marketing communications, forming partnerships with public and private entities for co-branding opportunities, and devising new strategies
