Job description

Job DescriptionJob Description

Professional Search Group- OC (PSG- OC) is seeking a highly organized, self-motivated Marketing Project Coordinator to support and execute the company's marketing initiatives. This Marketing Project Coordinator is a hands‑on, blended marketing role that combines content development, brand management, advertising coordination, event planning, and administrative support.

The Marketing Project Coordinator will work closely with the CEO, an external marketing consultant, and the company's advertising agency to ensure marketing materials, communications, and campaigns are accurate, professional, and aligned with the company's brand and business objectives. The ideal Marketing Project Coordinator has a background in B2B marketing, strong attention to detail, and a proven ability to take ownership of projects from start to finish. This person should be comfortable working independently, exercising sound judgment, contributing ideas, and collaborating directly with executive leadership. While support is available, success in this role requires initiative, accountability, and the ability to keep projects moving without constant direction.

Responsibilities:

  • Coordinate marketing initiatives from planning through execution, tracking timelines, deliverables, approvals, and follow-up to ensure projects are completed accurately and on schedule.
  • Coordinate the planning and execution of approximately 7–8 industry trade shows and events annually, including logistics, materials, vendor communication, and event‑related deliverables.
  • Draft, edit, and proofread B2B marketing content, including press releases, product announcements, internal communications, welcome letters, and promotional materials.
  • Manage marketing materials and collateral, ensuring accuracy, consistency, and alignment with company branding and messaging.
  • Work closely with the external branding agency and marketing consultants to coordinate projects, communicate requirements, manage deliverables, and maintain progress against deadlines.
  • Partner with the CEO and other stakeholders to support marketing priorities, communicate project status, and ensure deliverables meet business needs.
  • Assist with the coordination and oversight of print and digital advertising placements, including contracting, invoicing, and accounts payable processes.
  • Coordinate with external vendors, track project expenses and purchase orders, and maintain organized documentation related to marketing activities.
  • Work with internal teams to gather information, coordinate projects, and support consistent communication across the organization.
  • Identify opportunities to improve coordination, processes, and project execution while remaining open to feedback and new responsibilities.

Qualifications:

  • 5+ years of relevant experience in B2B marketing coordination, marketing project management, communications, or a related field.
  • Experience coordinating trade shows, industry events, marketing collateral, or other marketing projects from start to finish.
  • Strong written communication, editing, and proofreading skills, with the ability to produce clear, professional business communications.
  • Experience working with external marketing agencies, consultants, vendors, and senior leadership.
  • Familiarity with marketing budgets, contracts, invoices, purchase orders, or accounts payable processes.
  • Excellent organizational and project management skills, with the ability to manage multiple deadlines and competing priorities.
  • Strong attention to detail, sound judgment, and a results‑oriented approach to work.
  • Proficiency with standard office and digital productivity tools.
  • Bachelor's degree in Marketing, Communications, Business, or a related field required.
