Marketing Project Coordinator - Financial Services - Boston, MA
We are seeking a highly organized and proactive Marketing Project Coordinator to join a highly successful financial services firm located in Boston, MA. The Marketing Project Coordinator will manage the workflow and trafficking of marketing projects from initiation to completion. This role ensures that all marketing deliverables meet brand, quality, and compliance standards while being delivered on time. The ideal candidate will have 4+ years of marketing and project management experience, ideally within the financial services industry.
This is a 12-month contract position that will pay $40-41/hr (depending on experience) within a 40-hour work week. This position is required to be
onsite 4 days per week in their Boston office.
Responsibilities:
- Establish and oversee the workflow of marketing projects, ensuring efficient and timely execution.
- Review incoming project requests for completeness and accuracy, and assign tasks to the appropriate creative or production teams.
- Serve as a central point of contact, coordinating feedback and edits between internal clients, creative teams, and external agencies.
- Develop and maintain detailed project plans, timelines, and schedules to track progress and meet deliverable deadlines.
- Proactively monitor project milestones, anticipating and resolving potential roadblocks to keep work on schedule.
- Collaborate closely with cross-functional teams to communicate deadlines, priorities, and expectations clearly and effectively.
- Support the quality control process by reviewing materials to ensure they meet specifications and brand standards, and coordinate necessary revisions.
- Manage the submission of marketing materials to Compliance, tracking edits and approvals to ensure regulatory requirements are met.
- Take swift and appropriate action if project timelines or deliverables are at risk.
- Participate in and contribute to regular Production and Design team meetings to stay aligned on priorities and workload.
Qualifications:
- Bachelor’s degree in Marketing, Communications, Business, or a related field.
- 4+ years of experience in project coordination, marketing operations, or a similar role (agency or in-house experience a plus). Strong organizational skills with the ability to manage multiple tasks and projects from various stakeholders simultaneously.
- Excellent communication skills, both written and verbal, with a professional and diplomatic approach.
- High attention to detail, with a proactive and self-motivated attitude. Ability to thrive in a fast-paced, deadline-driven environment while maintaining composure under pressure.
- Sound judgment, problem-solving abilities, and interpersonal skills to foster team collaboration.
- Proficiency with Microsoft Office Suite (PowerPoint, Word, Excel, Project).
- Experience with WorkFront or similar project/workflow management tools strongly preferred.
