We are seeking a hands-on and operationally driven Marketing Operations Manager to own and improve the day-to-day workflow, project coordination, and output quality of our Creative Services team. This role will ensure timely, accurate, and scalable delivery of direct mail creative by operationalizing process improvements, managing team communication and workflow tools, and providing tactical support through QA, production oversight, and training.

This person will play a hands-on role in strengthening team accountability, improving stakeholder coordination, and supporting the creative lead in managing workload, execution standards, and creative development.

What you’ll be doing:

  • Own the operational workflow for creative production, from intake through delivery, including daily management of timelines, tickets, and team handoffs.
  • Take accountability for the quality, accuracy, and on-time delivery of all creative output by enforcing structured QA and process documentation.
  • Manage resource allocation to balance team workload, meet deadlines, and ensure consistent output.
  • Identify and eliminate workflow blockers to keep creative production running smoothly and on schedule.
  • Build and maintain SOPs, templates, checklists, and documentation to ensure quality, consistency, and repeatability.
  • Provide hands-on support as needed across execution and QA
  • Monitor template development and approval processes, enforcing best practices across platforms like Ziflow, Jira[AG1] and Hubspot.
  • Facilitate project kickoffs and ensure clear, accurate communication of requirements, timelines, and changes.
  • Strengthen alignment across Performance Marketing, Client Success, Creative Services, and Production through proactive coordination and stakeholder communication.
  • Handle day-to-day escalations related to timelines, requirements, or execution.
  • Support the development of creative briefs and help enforce adherence to brand guidelines and compliance standards.
  • Track team capacity, identify resource gaps, and propose solutions to meet production demands.
  • Coach team members on managing priorities, deadlines, and communication around workload. Lead onboarding and support ongoing training efforts.
  • Develop and maintain operational metrics and reporting systems to track productivity, project status, and team effectiveness.
  • Collaborate with the Creative Lead to ensure day-to-day operations align with strategic goals.

You’ve got what it takes if you:

  • Bachelor’s degree in Business Administration, Marketing, Design, or a related field
  • 7+ years of experience in creative operations, marketing production, or project management — preferably within financial services or other regulated industries
  • Proven track record of building, managing, and optimizing high-volume creative workflows and processes
  • 7+ years leading/managing a marketing/creative team.
  • Experience managing and developing design coordinators a QA/design support roles
  • Strong understanding of direct mail production processes, timelines, and versioning best practices
  • Proficiency in project management and creative workflow tools (e.g., Ziflow, Jira, Hubspot)
  • Experience with Adobe InDesign and an understanding of creative production constraints required
  • Highly organized, process-driven, and comfortable stepping in to support execution as needed
  • Strong interpersonal and communication skills across creative, technical, and client-facing teams
  • Leadership style grounded in accountability, clarity, and team enablement
