Summary

The Manager, Marketing Operations is a new role at Matouk, reporting to the SVP, Head of Brand. This role will serve as the central traffic manager for the Matouk Marketing, Creative, and Digital teams, building the processes, workflows, and systems that don't yet exist from the ground up. This role brings order, visibility, and accountability to the workflow, calendars, budget, and approvals that connect Merchandising, Creative, E-commerce, and Marketing, ensuring that projects move smoothly from concept to execution across every channel, on time and on budget.

This role owns the seasonal marketing milestone calendar, drives the creative briefing process across all work streams, builds and maintains SOPs for the department’s workflows, and tracks and initiates approvals across the organization, ensuring every brief, budget, and deliverable moves through the right sign-offs on time. This role also supports in tracking marketing expenses to budget.

The ideal candidate has a true entrepreneurial mindset: someone energized by building processes, workflows, and systems that don’t exist today, rather than simply maintaining what's already in place. This person is a highly organized, proactive problem solver who can manage multiple work streams and matrixed stakeholders at once, and is equally comfortable owning a calendar, untangling a budget, chasing down a missing brief, or pushing an approval through to the finish line.

Responsibilities
  • Serving as the central traffic manager for the Marketing, Creative, and Digital teams, providing visibility into the status, timeline, and ownership of every active project across email, organic social, PR, paid media, affiliate, unified commerce, and creative production.
  • Building and owning Standard Operating Procedures (SOPs) for the department and for every workflow, documenting how each process should run end-to-end so it lives in writing, not just in people's heads.
  • Tracking and initiating approval processes across the organization, ensuring briefs, budgets, creative concepts, and other deliverables move through the right sign-offs and stakeholders without stalling.
  • Owning and maintaining the master seasonal project status list, ensuring it reflects accurate, current milestones across all channels and stays the single source of truth for the team.
  • Driving the creative briefing process across all work streams, ensuring every brief is complete, meets the established approval standard before submission, and is delivered to Creative through the proper channel and on time.
  • Building and owning a single intake system for ad hoc creative and marketing requests that currently come in as informal asks, so all requests, owners, and deadlines are visible in one place.
  • Supporting the SVP, Head of Brand in managing the marketing department's budget, tracking spend against plan across paid media, agency fees, printing, photography, and other marketing expenses.
  • Partnering with Finance to code invoices and expenses to the correct budget lines, reconcile actuals, and support monthly and quarterly budget reporting.
  • Identifying risk and bottlenecks proactively across teams and escalating early when a project, deadline, or deliverable is at risk of slipping.
  • Partnering with Merchandising, via the seasonal product calendar, to ensure Marketing and Creative timelines are built around confirmed product delivery dates rather than reacting to changes after the fact.
  • Managing the Matouk Book production timeline in partnership with Littlefield, back-timed from the printer's required in-hand date.
  • Managing the print and digital advertising calendar and associated budget tracking.
  • Maintaining and updating the DTC Email Process SOP as part of the broader department SOP library, keeping it current as the process evolves.
  • Consolidating and maintaining visibility across the team's planning and tracking systems, including calendars, trackers, and shared documents across Email, Organic Social, PR, Paid Media, Unified Commerce, and Creative, reducing duplication and disconnected tracking where possible.
  • Evangelizing adoption of shared tools, including Trello and Google Workspace, across the team to drive consistent process and reduce reliance on informal requests.
Education and Prior Experience
  • Bachelor’s degree in marketing, business, communications, or a related field, or equivalent practical experience
  • Entrepreneurial mindset, with genuine enthusiasm for building processes, workflows, and tools from the ground up in a newly created role, rather than maintaining existing systems
  • 6+ years of experience in marketing operations, project management, or a similar cross-functional role, ideally supporting a marketing or creative team
  • Demonstrated experience managing departmental budgets, including tracking actuals against plan and partnering with Finance on expense coding and reconciliation
  • Demonstrated ability to manage complex, cross-functional projects with multiple stakeholders, competing deadlines, and limited resources
  • Highly organized with strong attention to detail and the ability to build process and structure where none exists
  • Excellent written and verbal communication skills, comfortable proactively flagging risk and holding stakeholders accountable to deadlines
  • Comfortable operating in a lean team environment, balancing hands‑on execution with process ownership
  • Experience with Trello or similar project management tools; familiarity with Google Workspace and Salesforce a plus
