Job description

Company Overview

AIIR Holdings delivers AI-powered HVAC solutions for hospitality environments, improving energy efficiency, guest comfort, and construction timelines for hotels, resorts, and mixed-use developments.

Role Summary

Reporting to the Director of Marketing, you will be at the center of brand and product marketing working on programs and campaigns that are critical to the growth of the brand and business. You will support the development and implementation of the annual marketing program including the development and production of sales tools, the management and execution of rolling new product launch campaigns, content development, and brand channel management, orchestrating communications to help create exceptional brand experiences for customers, and more.

As brand steward, you will own the management of social media channels (LinkedIn, Instagram, and YouTube), website, and email and ad campaigns, developing a rolling editorial calendar, creating and promoting content, and managing community engagement. As a niche startup in an industry that is slow to innovate, AIIR needs a marketing manager who isn’t afraid to roll up their sleeves and get the word of our solution out to our target audience, and drive adoption and interest through credible, functional, and consistent brand visibility and reputation.

Some responsibilities will include cross functional interaction with the sales directors and team, the product director and team, and engineering directly, as well as driving media partnerships, creative agency projects and overall internal digital organization and resource distribution management. This role also serves as a dedicated inside marketing resource for the sales team — supporting lead follow-up, pipeline reporting, and proposal and RFP needs — and maintains regular visibility to leadership through recurring status reporting on deliverables, campaigns, and results.

Key Responsibilities
  • Content and Campaign Management
    • Develop and maintain an integrated marketing campaign calendar, collaborating with Marketing Director to manage external agency resources.
    • Develop an editorial calendar leveraging consistent themes and content across web, social and email campaigns. Socialize internally to help product and sales surface opportunities around product launch and business initiatives.
    • Ensure all content and deliverables follow a direct path to the north star of our brand narrative, driving innovation in HVAC for the key markets of Hospitality, Multi‑Family, Student Housing, and Modular Builds.
    • Own a living deliverables tracker with clear owners, deadlines, and status, and deliver a recurring status report to the Marketing Director and leadership so work in progress, blockers, and results are visible to the broader team.
  • Brand Stewardship
    • Act as an internal expert on the AIIR brand and products with an eye toward identifying key selling propositions, features and benefits that will help communicate products/solutions successfully to internal teams and potential customers.
    • Manage branded templates and digital storage, both internally and externally, including all product documentation and collateral, packaging, sales tools, case studies, proposals, and brochures, updating and building new collateral as needed.
    • Alongside Marketing Director, define measurements of success and engage analytics to assess the value of campaigns with an eye toward continual optimization and refinement of strategy and brand.
  • Agency Management (PR, Creative, and Digital Advertising)
    • Serve as the primary point of contact for external agency partners, setting KPIs that prove marketing attribution as well as ensuring key deadlines and specs are met for relative projects and programs.
    • Oversee day‑to‑day communication and coordination with PR agencies to ensure timely press releases, media placements, and thought leadership campaigns, as well as cross channel promotion of such materials (internally and externally).
    • Direct creative agencies in the development of visual assets (brochures, product videos, landing pages), ensuring brand consistency and alignment with campaign objectives.
    • Take ownership of asset/deliverable storage and longevity of shelf life by repurposing and renewing materials on an ongoing basis.
    • Collaborate with SEO/SEM agencies to implement and optimize paid search, display ads, and retargeting campaigns across platforms like Google Ads and LinkedIn.
    • Ensure proper workflows and connectivity is in good standing between each connected platform and website, while aligning and owning part of the setup and execution of new systems, like CRM.
    • Monitor agency performance, campaign results, and reporting dashboards to ensure KPIs are met.
    • Serve as final quality‑assurance owner on all outbound deliverables — proofing copy, checking specs, and functionality‑testing digital assets before release — to raise the consistency, accuracy, and polish of everything that ships.
  • CRM System Setup & Management
    • Manage the company’s CRM platform including configuration of lead stages, contact properties, and lifecycle pipelines tailored to varying B2B sales cycles.
    • Design and execute automated workflows for lead nurturing and re‑engagement campaigns.
    • Build and maintain integrations connecting web forms, email platforms, and event tools into the CRM (native integrations or middleware such as Zapier) to ensure clean, reliable data flow from first touch to sales handoff.
    • Leverage AI and scheduled automations where possible to amplify the results of existing content and programs.
    • Build email templates and campaign sequences for different buyer personas and stages, with continued KPI monitoring and template updates as needed.
    • Implement lead scoring models to prioritize sales‑ready leads and ensure smooth handoff to business development or sales teams.
    • Maintain CRM hygiene through routine audits, deduplication, and segmentation for reporting and targeting accuracy.
    • Determine lead qualification and continually monitor and update workflow processes to support sales opportunity pipeline as needed.
  • Inside Sales Support, Enablement & Cross‑Functional Collaboration
    • Partner very closely with sales and business development teams to develop collateral and fulfill needs for events or newly launched products and market expansions.
    • Provide hands‑on inside sales support: qualify and route inbound leads, run timely follow‑up sequences for trade show and campaign leads, and assist with proposal, quote, and RFP preparation alongside the sales team.
    • Present marketing’s pipeline contribution (lead volume, conversion rates, campaign‑sourced opportunities) in recurring sales and leadership meetings so marketing impact is visible and actionable.
    • Launch and manage content libraries (e.g., case studies, one‑sheets, spec sheets) to support sales outreach and RFP responses.
    • Coordinate with product and engineering teams to ensure accurate and up‑to‑date technical documentation for customer presentations and trade shows.
    • Work cross‑functionally towards closing the product marketing gap of product documentation and publication updates through software, platforms, automations or workflows where possible.
Qualifications
  • Demonstrated experience partnering with product & cross‑functional teams to successfully bring B2B and/or B2C products to market
  • At least 4 years of experience in fast‑moving corporate, startup, or agency environment
  • Understanding of social media marketing and experience managing at least one channel, including editorial calendar and content
  • Experience with environmental brand applications (retail and permanent installation rollouts, special events, and trade shows) a plus
  • Customer obsession: a deep understanding of audience and ability to glean insights from research and develop feedback loops within marketing plans
  • Excellent PowerPoint skills
  • Familiarity with creative suite applications such as Adobe Illustrator, InDesign and/or Photoshop a plus
  • Excellent project management, problem solving and organizational skills, including experience coordinating multi‑disciplinary teams and external vendors with accountability for deadlines, hours, and deliverable quality
  • Proficient editing and creative copy writing capabilities
  • Hands‑on experience with CRM and marketing automation platforms, including workflow and integration builds (e.g., NetSuite, HubSpot, Zapier, SalesForce)
  • Working knowledge of web analytics and tag management (e.g., GA4, Google Tag Manager, WebFlow) to measure, report, and optimize campaign performance
