Position Summary:
The Program Coordinator will play a pivotal role in supporting Fight CRC’s Philanthropy Team by managing key logistical and operational tasks. This remote position will work closely with the Program Manager and the Vice President (VP) of Philanthropy to ensure seamless execution of advocacy initiatives. Responsibilities include managing the VP of Philanthropy's calendar, coordinating meetings, and overseeing contracts, procurement, and vendor relationships. The Program Coordinator will also provide critical support in using project management tools like Microsoft Project and Planner to keep projects on track.
Key Responsibilities:
·Calendar Management: Oversee the VP of Philanthropy's calendar, coordinating appointments, meetings, and advocacy-related events. Ensure scheduling aligns with Fight CRC's advocacy priorities and external commitments.
·Logistics and Event Coordination: Manage logistical aspects of internal and external meetings, webinars, and advocacy events, including preparing materials, scheduling, and travel arrangements where necessary.
·Project Management Support: Collaborate with the Program Manager to track and update advocacy project timelines in Microsoft Project and Planner, ensuring all milestones and deadlines are met.
·Contract and Procurement Oversight: Assist in the management of contracts and agreements with external vendors. Ensure procurement processes are followed, including vendor selection, negotiation, and purchasing, in accordance with Fight CRC’s policies.
·Vendor Relationship Management: Serve as the point of contact for vendors, ensuring timely delivery of goods and services and resolving any issues that arise during project implementation.
·Meeting Coordination: Facilitate internal and external meetings, including creating agendas, distributing materials, and tracking follow-up tasks.
·Data and Documentation Management: Maintain thorough and organized records of contracts, meeting notes, project plans, and other advocacy-related documents.
·Budget Assistance: Work with the Program Manager to track and manage advocacy program budgets, processing invoices and collaborating with the finance team to ensure accurate and timely payments.
·Reporting and Communication: Prepare regular updates and reports on project status and outcomes, ensuring clear communication between the Philanthropy Team, the VP of Philanthropy, and other stakeholders.
·Stakeholder Coordination: Act as a liaison between the Philanthropy Team, external partners, and other Fight CRC departments to ensure consistent and effective collaboration.
Qualifications:
·Associate’sdegree in public policy, project management, business administration, or a related field.
·Minimum of 2 years of experience in project coordination, logistics, or a similar role, preferably within a non-profit or advocacy setting.
·Proficiency with Microsoft Office Suite, especially Microsoft Project and Planner.
·Strong organizational and multitasking abilities, with the capacity to manage multiple projects and deadlines in a remote environment.
·Excellent written and verbal communication skills.
·Experience managing executive-level calendars and coordinating complex meeting logistics.
·Knowledge of contract management and procurement processes is a plus.
