Job summary

Nicolaides Fink Thorpe Michaelides Sullivan LLP is seeking a Marketing Coordinator to join the firm’s Chicago office and be an integral part of its administrative support team.

You will provide executional, operational, and project coordination support for the marketing and business development function, working with the Marketing Manager to maintain systems and materials, support attorney and client initiatives, and enhance visibility and client experience.

Qualifications

  • Bachelor’s degree in marketing, communications, graphic design, or related field.
  • 3–5 years of experience in marketing, communications, business development, or a related professional services environment; law firm or professional services experience preferred.
  • Strong writing, editing, proofreading, and verbal communication skills for client-facing materials across formats.
  • Strong project coordination skills with deadlines, follow-up, and multiple workstreams.
  • Proficiency with PowerPoint and Canva; Adobe Creative Suite preferred; familiarity with CRM/email marketing tools and CMS is a plus.

Responsibilities

Nicolaides Fink Thorpe Michaelides Sullivan LLP is looking for a Marketing Coordinator to join the firm’s Chicago office and become an integral part of its administrative support team.

The Marketing Coordinator will provide executional, operational, and project coordination support for the firm’s marketing and business development function. Working closely with the Marketing Manager, this role will help maintain marketing systems and materials, support attorney, office, and practice needs, assist with client-facing initiatives, and contribute to efforts that enhance the firm’s visibility, client experience, and market position.


This is a hands-on, detail-oriented role for someone who thrives in a collaborative, fast-paced professional services environment and is comfortable managing deadlines, coordinating across teams, and supporting a broad range of marketing and business development initiatives.


Who We Are

Nicolaides is a preeminent insurance coverage law firm, dedicated to exclusively representing the interests of the insurance industry around the world. Our attorneys represent clients in high exposure coverage disputes before federal and state trial and appellate courts, as well as arbitration panels across the U.S. and abroad.


This is a full-time, non-exempt role. The annualized base compensation range for this position is $65,000 to $75,000, based on a 35-hour workweek, with eligibility for overtime, as needed.


Once fully trained and familiar with the job duties, the firm offers a hybrid work schedule.


Primary duties, responsibilities, qualifications, education, and experience requirements are outlined below.


Key Responsibilities

Market Reputation & Recognition

  • Coordinate and track awards, rankings, and recognition submissions, including deadlines, requirements, attorney nominations, supporting materials, and results.
  • Assist with collecting representative matters, case details, attorney experience, supporting documentation, and related contact information.
  • Coordinate outreach, follow-up, and information gathering efforts as directed.
  • Track media coverage, recognition results, submission outcomes, and related materials for review and future use.
  • Support the use of rankings, recognitions, media coverage, attorney credentials, and related materials across firm marketing channels.

Communications & Content

  • Draft, edit, proofread, format, and help maintain routine website and digital content, including attorney biographies, news items, thought leadership, representative experience, speaking engagement write-ups, firm announcements, social media posts, and internal communications.
  • Support content scheduling, posting, distribution, and engagement tracking across digital channels.
  • Create social media graphics, event invitations, presentations, and other visual assets using PowerPoint, Canva, Adobe Creative Suite, and related tools.
  • Help organize and repurpose content across digital, internal, and client-facing channels.
  • Maintain organized content files, image assets, templates, and related communications materials.

Business Development & Client Growth

  • Assist with client-facing materials, including pitch decks, RFP/RFI responses, matter-specific collateral, attorney credentials, and practice materials.
  • Help maintain experience banks, representative matter summaries, attorney credentials, and reusable pitch/proposal content.
  • Gather information and coordinate updates across practices, offices, and attorney teams.
  • Conduct research, as directed, on industry trends, client initiatives, prospects, conferences, organizations, and related business development opportunities.
  • Track business development follow-up items, deadlines, materials, and related action steps.

Events, Sponsorships & Client Engagement

  • Coordinate logistics for firm-hosted events, including client training programs, internal events, receptions, and other client-facing programs.
  • Support the firm’s participation in sponsored events, including conferences, industry programs, bar association events, charity events, and related opportunities.
  • Create and coordinate event materials, including invitations, RSVP forms, attendee lists, reminders, nametags, signage, presentations, and related collateral.
  • Manage event timelines, RSVPs, materials, logistics, attendance tracking, and follow-up communications.
  • Track sponsorship deliverables, event outcomes, attendance, client engagement, and related follow-up items.

Marketing Operations & Infrastructure

  • Maintain the firm’s marketing and business development calendar and project trackers, including key deadlines, recurring initiatives, status updates, follow-up items, and deliverables.
  • Prepare, format, and help maintain marketing collateral, templates, checklists, working files, internal resources, and reusable materials.
  • Support the implementation and ongoing maintenance of the firm’s contact management system.
  • Maintain accurate contact lists and the firm’s email marketing database, including list segmentation, distribution workflows, subscription mechanisms, and campaign tracking.
  • Support reporting and analytics related to email campaigns, website content, events, sponsorships, and other marketing initiatives.
  • Assist with intake tracking, workflow documentation, process improvements, approved automation opportunities, special projects, and coordination with attorneys, internal operational teams, and external vendors.

Qualifications

  • Bachelor’s degree in marketing, communications, graphic design, or related field.
  • 3 to 5 years of experience in marketing, communications, business development, or a related professional services environment; law firm or professional services experience strongly preferred.
  • Strong writing, editing, proofreading, and verbal communication skills, with the ability to develop compelling marketing content and support the creation of client-facing marketing materials across a variety of formats.
  • Strong project coordination skills, including the ability to track deadlines, manage follow-up, organize details, and move multiple workstreams forward simultaneously.
  • Strong visual communication and graphic design skills, including proficiency with PowerPoint and Canva; experience with Adobe Creative Suite preferred.
  • Proficiency with Microsoft Office; experience with CRM/contact-management systems, email marketing tools, website CMS platforms, event platforms, or project management tools is a plus.
  • High attention to detail and strong organizational skills.
  • Ability to manage multiple projects, deadlines, and competing priorities in a fast-paced environment.
  • Proactive, self-motivated, and able to anticipate needs and take initiative.
  • Ability to work collaboratively and professionally with attorneys, business professionals, operational teams, vendors, and firm leadership.
  • Professionalism, discretion, sound judgment, ability to handle confidential information, and a client-service mindset.
  • Ability to occasionally assist with event setup and breakdown, and transport marketing materials, event supplies, and promotional items weighing up to 25 pounds.
