Responsibilities

  • Maintain and support marketing calendars, tracking and communicating events, campaigns, deadlines, and milestones
  • Monitor the OMICRON Academy schedule and integrate marketing activities and promotional timelines
  • Maintain team availability calendars, vacation schedules, planned absences, and holiday coverage
  • Coordinate backup coverage and scheduling
  • Track department deadlines and deliverables and follow up with team members
  • Support internal reporting and maintain marketing dashboards
  • Coordinate hotel accommodations and lodging for industry and company events
  • Collect employee travel details, including flight itineraries and schedules
  • Manage travel-related calendar reminders and notifications
  • Maintain travel records and track event attendance and travel logistics
  • Travel to key industry and company-hosted events approximately 2–3 times annually
  • Maintain the marketing asset database and manage marketing inventory
  • Organize trade show materials, booth assets, promotional giveaways, literature, and branded merchandise
  • Partner with the Toronto office administrator on inventory needs
  • Maintain inventory spreadsheets and conduct routine inventory audits
  • Manage spare parts inventory for exhibit displays and booth materials
  • Inspect booth kits and event assets before and after shows
  • Report damaged or missing materials and coordinate replacements
  • Fulfill ASM kits, product specialist requests, marketing material orders, and Sales Partner requests submitted through MS Forms
  • Coordinate inventory replenishment and stock levels
  • Prepare shipping documentation and maintain shipment records
  • Track shipments using spreadsheets and logistics tools
  • Obtain and compare shipping quotes
  • Create shipping labels and process shipments using FedEx and other logistics providers
  • Monitor shipment status and resolve delivery issues or delays
  • Coordinate inbound and outbound event shipments
  • Assist with packing, unpacking, staging, and organizing event materials
  • Document shipments, including maintaining records and taking shipment photos
  • Ensure materials are shipped, received, and returned according to schedules and deadlines
  • Coordinate employee apparel orders
  • Track marketing expenses and purchasing records
  • Review vendor invoices and submit approved invoices to accounting
  • Monitor payment status
  • Maintain annual marketing budget tracking spreadsheets
  • Monitor expenses against approved budgets
  • Research pricing, obtain quotes, and identify cost-saving opportunities
  • Generate financial summaries and reports for departmental planning and budget reviews
  • Provide administrative and operational support for day-to-day marketing activities across North America
  • Report to the NA Regional Communications Manager
  • Work in a clean, orderly, properly lighted, and ventilated office environment
