Job summary

MOL (Americas) LLC, based in Long Beach, CA, seeks a Sales & Operation Support professional to work with the Sales, Traffic & Documentation and Marine Departments. You will serve as the primary contact for external customers, coordinating information and ensuring timely responses, with occasional after-hours involvement.

In this role you will support contract administration, AR activities, quoting, and preparation of sales materials while collaborating with Key Account Managers to maintain

Qualifications

• Clerical and administrative procedures
• Intermediate to advanced MS Outlook, Word, Excel and PowerPoint
• Experience in office administration and accounting operations welcomed
• Excellent verbal and written communication skills
• Excellent organizational skills and attention to detail
• Excellent time management and ability to meet deadlines
• Ability to drive projects to completion and take initiative
• Ability to work in a multinational environment

Responsibilities

• Maintain ongoing communication with customers regarding shipment status and updates
• Follow up with customers to obtain volume forecasts and monitor booking trends
• Coordinate with Key Account Managers and share customer updates
• Support contract administration by gathering and verifying relevant documentation
• Manage Accounts Receivable processes including invoice follow-up and collections
• Review incoming damage claims and coordinate with Key Account Managers
• Monitor shipment timelines and remind customers of cut-off deadlines
• Assist in preparing spot shipment quotations
• Develop and update sales materials, presentations and reports
• Perform additional duties to support operations and customer objectives
