Job summary

University of Miami is seeking a Manager, Sponsored Programs to oversee the administrative and financial aspects of the Sponsored Programs division in Miami. You will work to increase funding levels, maximize use of dollars, and implement effective policies.

• Manages monthly overhead and allocation tables and reallocates grant funds based on period reports.
• Formulates analyses of operating programs by costs vs. services performed in prior years.
• Creates and oversees budget, and recommends modifications when appropriate.
• Approves all disbursement requests for accuracy in coding and fund availability.
• Establishes and assesses internal controls and ensures policy compliance; trains employees on controls.

The University of Miami/UHealth Department of Surgery has an exciting opportunity for a Full Time, Manager, Sponsored Programs to work in Miami.

Core Job Summary:

The Manager, Sponsored Programs oversees administrative and financial aspects of the Sponsored Programs division. The incumbent operates with the objectiveof increasing sponsored funding levels and the output of funding proposals, as well asmaximizing the use and efficacy of existing research funding dollars. Additionally, the Manager, Sponsored Programs develops and implements policies and methods that are most effective to that end.

Core Responsibilities:

• Reviews all material budget variances with the appropriate senior staff and develops appropriate plans of corrective action.
• Prepares monthly variance reports for programs’ management and development.
• Assists in the preparation of grant reports for senior management.
• Maintains portfolios for private and government grants and funds.
• Develops and maintains grant allocation systems.
• Manages monthly overhead and allocation tables and reallocates grant funds based on period reports.
• Formulates comparative analyses of operating programs by analyzing costs in relation to services performed during previous fiscal years.
• Creates and oversees budget, making recommendations for budget modifications when appropriate.
• Approves all disbursement requests for accuracy in coding and availability of funds prior to commitment of funds.
• Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures. Ensures employees are trained on controls within the function and on University policy and procedures.

Department Specific Functions:

• Supports a robust grant and contract portfolio, and ensures post-award requirements are met
• Works independently in aiding and monitoring of sponsored agreements during close out while adhering to University, State and Federal policies
• This position plays an important role in post-award Administration in providing support to ensure proper award setup, budgets, allowable expenses, cost transfers and effort reporting
• Performs post-award functions, including award setup, budget distributions, expense monitoring, labor distribution transfers and associated communications with stakeholders, and re-budgeting
• Review and approves Payroll Accounting Adjustments and associated communications with customers, re-budgeting
• Review and approves expense transactions and journal/cost transfer entries to ensure accuracy and completeness
• Review and approves Petty Cash requests
• Review and approve Sponsored program travel for completeness and accuracy
• Collaboratively assesses needs with Sr. Manager, Research Administration and resolves issues of the principal investigator related to grant accounting; performs analysis and support for projects
• Ensures high quality and efficient service to the departmental research community
