Job summary

OpenAI seeks a hands-on Real Estate & Workplace program manager in San Francisco to own end-to-end moves and CAFM governance. You translate occupancy strategies into safe, low-disruption moves, coordinate vendors, and drive CAFM roadmap and adoption. This hybrid role offers three office days weekly with relocation assistance for new hires.

About the Team

The Real Estate and Workplace team at OpenAI is pivotal in crafting and maintaining the physical environments that fuel our innovation and growth. This team ensures our facilities align with our dynamic business objectives. We manage daily operations, optimize workspace designs, and manage leasing and planning for our real estate portfolio. With a strong focus on sustainability and efficiency, the team works closely with internal stakeholders and external partners to create spaces that not only reflect our brand's identity and culture but also enhance employee productivity and well-being. About the Role

As a member of the Real Estate & Workplace team, you will own the end-to-end execution of employee and team moves and the program management of our CAFM platform. You will translate approved occupancy strategies into safe, accurate, low-disruption moves—from intake, scenario validation, and sequencing through communications, vendor coordination, day-of execution, and post-move stabilization. In parallel, you will serve as the business program lead for CAFM, driving its roadmap, data governance, integrations, release management, and adoption so workplace teams operate from reliable space and occupancy data.

This is an individual contributor role based in San Francisco, CA, operating on a hybrid model with three office days per week. Relocation assistance is available to new hires. Success in this role is measured by predictable move delivery, employee readiness, cost and schedule control, accurate CAFM data, strong user adoption, and continuous improvement.

In this role you will:
Move Planning & Execution
  • Lead concurrent office moves, restacks, and phased relocations from approved scope through move-day execution, stabilization, and closeout.
  • Build integrated move plans covering schedules, budgets, dependencies, seating, IT/AV, security, furniture, facilities, accessibility, communications, and contingencies.
  • Translate business requirements and stacking plans into move waves; lead readiness reviews, issue resolution, and post-move retrospectives.
Cross-Functional & Vendor Leadership
  • Establish clear responsibilities, decision-making processes, and escalation paths across business leaders, People, IT, Security, Facilities, Communications, and Finance.
  • Manage move vendors and workplace service providers, including scope, schedules, deliverables, quality, safety, and costs.
  • Communicate plans, risks, and decisions to employees and executives while minimizing business disruption.
Move Operations & Performance
  • Develop scalable move playbooks, RACI models, readiness checklists, cutover plans, and service standards.
  • Maintain risk and issue logs, change control, budget tracking, and governance across the move portfolio.
  • Track KPIs—including readiness, move accuracy, downtime, employee experience, and cost to improve future execution.
CAFM Program Management
  • Own the CAFM roadmap, governance, budget, vendor performance, and success measures.
  • Translate workplace workflows into system requirements and releases; oversee configuration, testing, launch readiness, and change control.
  • Establish standards for floorplans, occupancy, employee assignments, and move data, maintaining CAFM as the system of record throughout the move lifecycle.
  • Drive adoption through documentation, training, support, and integrations with HRIS, ITSM, access control, reservations, and analytics.
You’ll might thrive in this role if you have:
  • 5-8+ years of experience in workplace operations, move management, space and occupancy planning, or corporate real estate in a dynamic, high-growth environment.
  • Demonstrated success leading concurrent, complex office moves and relocations end to end, including schedule, budget, vendor, communications, cutover, risk, and stabilization ownership.
  • Hands-on experience serving as a business owner, product or program manager, or administrator for CAFM/IWMS platforms such as OfficeSpace, including requirements, UAT, data governance, integrations, and adoption.
  • Strong program management, analytical, and executive communication skills; able to manage budgets, vendors, RAID and change control, and KPIs using Google Workspace, Tableau, and related reporting tools.
