Job summary

Schwab is seeking a Benefits professional to drive communications, oversee 401(k) operations, and manage ACA compliance in a hands-on, in-house environment. You will support open enrollment, vendor management, and process improvements while ensuring accurate administration of multiple benefit programs.

The role emphasizes collaboration, documentation, and delivering high‑quality work in a fast-paced setting with hybrid work options.

Qualifications

  • 3-5 years of experience managing diverse benefit programs (medical, dental, vision, life, wellness, COBRA, HSAs).
  • Hands-on experience with billing, invoice processing, and wire transfers.

Responsibilities

  • Lead benefits-related employee communications and enrollment materials.
  • Oversee 401(k) plan operations and recordkeeper interactions.
  • Manage ACA compliance reporting with vendor support.
  • Develop and maintain process documentation and SOPs.
  • Coordinate vendor relationships for benefits programs.
  • Support annual Open Enrollment for COBRA and active employees.
  • Analyze benefit programs to identify trends and improvement areas.
  • Provide audit support for internal/external reviews.
  • Contribute to ad-hoc projects and process improvements.

In this individual contributor role, you will report directly to the Director, Benefits, and have broad exposure to all facets of benefits administration and operations in a highly hands-on environment where most activities are managed in-house. You'll play an active role in key processes such as RFPs, contract negotiations, implementations, day-to-day administration, problem resolution, system testing, and special projects-including annual events like open enrollment.

What you'll do
  • Lead benefits-related employee communications including enrollment guides, presentations, Workday enrollment content, internal knowledge articles, virtual benefits fair materials, wellbeing program updates, and employee email campaigns.
  • Oversee 401(k) plan operations, ensuring accurate processing and review of eligibility files, loans, salary deferrals, employee escalations, and timely responses to recordkeeper inquiries.
  • Manage ACA compliance reporting in partnership with the ACA vendor.
  • Develop and maintain process documentation and standard operating procedures to ensure consistency and efficiency.
  • Coordinate vendor relationships for select benefits programs, driving performance and service excellence.
  • Support annual Open Enrollment for COBRA and active employees, including planning and execution activities.
  • Analyze benefit programs to identify trends, opportunities, and areas for improvement.
  • Provide audit support for internal and external reviews, ensuring compliance and accuracy.
  • Contribute to ad-hoc projects and process improvements as needed.
What you have

R equired Qualifications:
  • 3-5 years of experience managing diverse benefit programs, including medical, prescription, dental, vision, life insurance, wellness, EAP, flexible spending plans, COBRA, and HSAs.
  • Hands-on experience with benefits administration and operations, such as billing, invoice processing, and wire transfer.
Preferred Qualifications:
  • Knowledge of 401(k) plan operations and compliance requirements.
  • Strong functional and technical understanding of benefit plans and programs.
  • Workday experience preferred.
  • Advanced skills in MS Office suite.
  • Proven ability to deliver high-quality work on time and meet deadlines in a fast-paced environment.
  • Demonstrated capacity to learn quickly, improve processes, and drive operational efficiency.
  • Skilled at managing multiple projects simultaneously, ensuring progress and providing clear status updates to stakeholders.
  • Ability to work independently in a lean, high-volume, deadline-driven environment.
  • Strong problem-solving skills with the ability to identify root causes and recommend solutions.
  • Excellent organizational, analytical, and project management skills.
  • Adaptable and thrives in a service-focused, dynamic environment.
  • Exceptional written communication skills; able to draft clear, concise, and professional emails.
