Position Title: Manager, Admin, Events & Special Projects

About the Role:

The Coordinator for Events and Special Projects is a highlyorganized role in the Office of the Provost who provides criticalsupport to the Academic and Student Affairs division. The roleensures compliance with faculty credentialing requirements andaccreditation standards, manages faculty data and reportingsystems, and coordinates strategic events and recurring meetingshosted by the Provost’s Office. This position also serves as aliaison to academic and administrative units across the university,supporting the Vice Provost through effective communication,project tracking, and logistical coordination. By combiningadministrative expertise, event management, and data oversight, theposition contributes to the efficiency, visibility, and reputationof the division.

  • Serve as system administrator for Faculty Success, ensuringaccurate collection and reporting of faculty teaching,research/creative activity, and service data. Manage facultycredentialing records required for accreditation, includingtranscripts, promotion/tenure data, and faculty status updates.Maintain the Faculty Success website, granting system access asappropriate, collaborating with IT to enhance functionality, andensuring course load and syllabus data are updated each term.Respond to current and former student syllabi requests.
  • Plan and coordinate events and recurring programs hosted by theOffice of the Provost, including Faculty & Staff Awards, Firstand Final Fridays, Faculty Development Awards, NewFaculty/Administrator Orientation, GSE programming, fallConvocation Week, faculty appreciation events, special guestlectures and such. Oversee event logistics, including schedulingfacilities, catering, RSVP tracking, seating, communications, andpromotional materials. Coordinate official faculty portraitprojects in collaboration with the library.
  • Provide comprehensive administrative support to the ViceProvost, including coordinating travel arrangements, calendarmanagement, processing expense reports, tracking, reconciling, andallocating monthly procurement card expenses, managing timeapprovals, and preparing meeting agendas and minutes. Supportsearch committees by managing candidate travel and logistics
  • Schedule bi-weekly, monthly, and semi-annual meetings betweenRisepoint and multiple internal and external university-widestakeholders. Reserve rooms and arrange for technical support foron-campus meetings.
  • Assist with preparing documentation, reports, presentations,and communications and reports for internal and external audiences,ensuring data accuracy.

Bachelor’s Degree and three years of experience required. Requiresthe ability to maintain confidentiality, exercise sound judgment,and demonstrate strong organizational and communication skills.Occasional flexibility in work hours may be necessary to supportevening or weekend events.
