Job description

Position Overview

Manager, Academic Processes, Full‑time exempt. 37.5 hrs/week, Monday–Friday 8:30 a.m.–4:30 p.m., with occasional evening or weekend work as needed. Reports to Director, Academic Process Specialist Team and manages 2–3 direct APS/APC reports. Hybrid work in Chicago, IL with travel to international Centers.

Responsibilities
  • Oversee APS team processes, including pre‑departure guides, program fees, dates, website updates and other deliverables.
  • Communicate relevant timelines and status updates to internal departments and external constituents (students, parents, center staff).
  • Train, support and manage 2–3 APS/APC direct reports; provide feedback, coaching and first‑line escalation support.
  • Maintain accurate programmatic information on public website, pre‑departure guides and departmental resources.
  • Coordinate APS responsibilities with Advising, Marketing, GEM, Student Affairs and Center staff.
  • Develop and sustain training materials, conduct training sessions, and oversee performance management (reviews, goal setting, coaching, HR documentation).
  • Serve as liaison between Chicago HQ and international Centers for program‑related questions, technology support, compliance and communication of changes.
  • Review grade reports, field requests for grade appeals, draft responses and keep records of appeals outcomes.
  • Assist in planning, budgeting, communication and preparation of materials for curricular initiatives and departmental events.
  • Participate in academic task forces, draft reports, and perform additional assigned tasks.
  • Ensure regular, predictable attendance and maintain a positive, flexible, and proactive attitude.
Qualifications & Skills
  • 3+ years of experience in a process or project management role.
  • Experience coaching, mentoring or managing direct reports.
  • Excellent computer skills: web content management, Microsoft Office, and project/data management tools.
  • Strong interpersonal, written and verbal communication skills with the ability to lead meetings.
  • Organizational and problem‑solving skills; ability to prioritize multiple projects and meet deadlines.
  • Attention to detail and ability to simplify complex processes into clear steps.
  • Self‑direction, initiative, and the ability to work independently as well as part of a team.
  • Flexibility and adaptability in a changing environment.
  • Professional conduct, sound judgment, and commitment to diversity, equity, inclusion and anti‑racism.
  • Experience working in a global context.
  • Ability to maintain a positive can‑do attitude during stressful situations.
Experience & Background
  • Experience living, working or studying abroad is desirable.
  • Background in cross‑cultural communication in a professional setting is a plus.
Education & Certifications
  • Bachelor’s degree required.
Salary and Benefits

Salary range: $67,000–$72,000 per year.
