Responsibilities

  • Analyze business and technology needs to enhance financial aid services or practices.
  • Create process documentation for ctcLink and provide ongoing staff training to ensure data integrity.
  • Prepare reports on financial status of programs (Work-Study, scholarships) for leadership and SBCTC.
  • Research and advise the Director of Financial Aid on cross-department issues and impacts of policy changes.
  • Monitor changes in operations policies and collaborate with SBCTC peers to optimize systems.
  • Lead training sessions to ensure staff can provide accurate and equitable guidance to students.
  • Use data analytics to evaluate program success and drive improvements.

Management Analyst 4

Department: Student Services

Reports To: Director of Financial Aid

Salary range: $71,136 - 95,676* Annually

This position will remain open for a minimum of seven (7) days. The College reserves the right to close the recruitment at any time after the minimum posting period once a sufficient applicant pool has been established. All classified positions will start their salary at Step A.

This position functions under general direction and reports to the Financial Aid Director, serving as a management analyst responsible for managing communication systems and systems processes and strategies within the Financial Aid Department. The role involves developing and facilitating cross-departmental collaborations, communication systems, and process and systems efficiencies to ensure students are well-informed and able to access financial aid resources. Focus areas include system process analysis, recommendations, development, data management, and streamlining workflows. The Management Analyst 4 also oversees the improvement and management of key communication systems and platforms to ensure students receive accurate and timely information. This position assists in ensuring diverse, equitable, and inclusive access to financial aid resources across the institution.

Essential Functions
  • Facilitate the automation and improved business processes of the financial aid department to more efficiently serve students and comply with federal, state, and institutional policies and regulations.
  • Collaborate with the Financial Aid Department and Welcome Center to understand how staff use ctcLink and other software systems, map out those processes, find problems or inefficiencies, understand how different systems and tasks depend on each other, and recommend ways to improve operations.
  • Analyze current business, management and technology needs to facilitate changes in financial aid services or practices.
  • Create process documentation for ctcLink (student information system) to improve usage and consistency in financial aid procedures. Provide ongoing support and training for staff on ctcLink processes, ensuring data integrity and smooth operations.
  • Prepare reports on the financial status of key programs, including Work-Study and scholarship funds for college leadership and SBCTC, and ensure compliance with institutional, state, and federal regulations.
  • Research, analyze, evaluate and make recommendations to the Director of Financial Aid regarding issues which cross departmental lines.
  • Monitors proposed or pending changes in business operations policies and procedures, potential impacts on business functions (and students) and recommended appropriate responses to assist in the implementation of those changes.
  • Collaborate with peers at other colleges in the SBCTC system to troubleshoot and optimize financial aid systems.
  • Lead training sessions for appropriate personnel to ensure they are fully informed of financial aid processes and equipped to provide accurate and equitable guidance to students.
  • Use data analytics to evaluate program success and incorporate feedback to enhance participation and improve processes.
  • Conduct regular audits of key platforms (Ocelot, SharePoint, SignalVine, and the Financial Aid website) to ensure accurate, current information for students and staff. Address issues promptly and update content as needed.
  • Conduct data analysis and integrate feedback to expand and enhance financial aid programs, improving accessibility, outreach strategies, and resource efficiency to address emerging student needs.
  • Develop streamlined workflows to prioritize emergency financial aid requests, ensuring that students facing urgent needs receive support as efficiently as possible.
Minimum Qualifications
  • High school diploma or equivalent
  • Demonstrate excellent interpersonal relations, customer service, and organizational skills
  • Ability to analyze data and present findings clearly using various formats, such as graphs, tables, and written summaries.
  • Demonstrate excellent verbal and written communication skills.
  • Demonstrate proficiency in standard office practices, procedures, and desktop applications, including word processing, spreadsheets, and email management tools.
  • Work effectively with individuals representing a wide range of diverse cultural and socioeconomic backgrounds.
Preferred Qualifications
  • Proven project management skills with experience in communications, public relations, and program coordination, preferably in higher education or nonprofit settings.
  • Ability to coordinate and manage multiple projects simultaneously while meeting deadlines and workload demands.
  • Demonstrated success collaborating with administration, faculty, staff, diverse populations, and assigned committees.
  • Experience managing communication systems (e.g., Ocelot, SharePoint, SignalVine) and student information systems (e.g., ctcLink) to improve access and efficiency.

Please note that we are unable to sponsor visas for this position. Only candidates who are currently authorized to work in the United States will be considered.

This is a full-time classified position scheduled to work 40 hours a week, with a salary range of $71,136- $95,676 *annually. All classified positions will start their salary at Step A. After completing your six-month probation, you will receive a two-step salary increase. A collective bargaining agreement exists, and this position is covered by the Washington Public Employees Association (WPEA) Union.
