Job summary

Maricopa Association of Governments seeks an energetic, detail‑oriented professional to support the executive office and policy committees. You will manage calendars, prepare agendas, coordinate meetings, and ensure smooth executive communications across MAG.

The role requires a Bachelor’s degree in a related field and 3+ years of executive‑level administrative support or 5+ years of general administrative support. MAG offers a hybrid work environment with strong benefits.

  • At least 3 years executive level administration support or 5 years general administrative support.
  • Any equivalent combination of training, education, and experience.

Responsibilities

  • Facilitates preparation and execution of MAG policy committee agendas and meetings, including Regional Council and related committees.
  • Performs administrative activities during policy committee meetings, including roll call, quorum, and reporting to chair.
  • Prepares and distributes committee agenda materials and notices; sets up meetings.
  • Manages calendars for the executive director and executive team; coordinates internal and external meetings and travel.
  • Maintains databases, contact lists, and prepares invoices and expense reports.
  • Screens calls, emails, and visitors; organizes files and information systems.
  • Drafts documentation for procedures and processes; manages COOP for Administrative Division.

Your Team:

MAG's Executive Office provides strategic leadership, oversight, and support to ensure the effective implementation of our mission. It serves as the central hub for executive decision making, policy development, and cross-departmental coordination. The office works closely with senior leadership and external stakeholders to drive organizational priorities, foster innovation and maintain high standards of accountability and performance across all units.

The Position:

MAG seeks an energetic, motivated, detailed and team oriented professional to support the executive office and policy committees.

Main responsibilities include:
  • Facilitates preparation and execution of MAG policy committee agendas and meetings, including Regional Council, Regional Council Executive Committee, Management Committee, and/or Transportation Policy Committee.
  • Performs various administrative activities during policy committee meetings, including roll call, maintenance of quorum, recording of committee actions and associated reporting to chair.
  • Prepares and distributes committee agenda materials, public meeting notices, and set-up for committee and stakeholder meetings.
  • Manages calendars for the executive director and executive team, scheduling internal and external meetings, travel, and agency-supportive activities, as directed.
  • Manages the agency-wide 12-month policy committee agenda tracking system and supports bi-weekly internal agenda planning meetings.
  • Facilitates executive communication, prioritizing and responding to emails, phone calls, and correspondence in a timely manner.
  • Builds relationships with MAG member agencies and stakeholders. Responds to requests from internal and external stakeholders.
  • Supports and manages special projects at the direction of the executive office.
  • Provides various executive support, including maintaining databases and contact lists, completing lobbyist registration and reporting, and/or preparing invoices and expense reports.
  • Screens calls, emails, and visitors on behalf of the executive office.
  • Organizes and maintains files, databases, and other information systems.
  • Drafts documentation for procedures and processes.
  • Manages Continuity of Operations Plan (COOP) for the Administrative Division, standardizing documents, and conducting an annual review of key agency documents.

Technology Skills:

You are proficient in Microsoft Windows and Microsoft Office products, including Word, Outlook, PowerPoint, and Excel.

Experience and Education:

Bachelor's degree from an accredited college or university in Business, Political Science, Statistics, Urban Planning, or a related field. At least 3 years executive level administration support or 5 years general administrative support. Any equivalent combination of training, education, and experience that provides the required skills, knowledge and abilities.
