Job summary

The Campaign and Research Associate at Farnsworth Art Museum plays a pivotal role in providing data and research to drive the museum's capital campaign. The role identifies high-capacity prospects, maintains donor records, and executes high-volume gift processing with a focus on accuracy and timeliness.

Reporting to the Manager of Development Operations, the Associate creates prospect briefings, drafts acknowledgement letters, and supports data-driven decision-making for 7- to 8-figure

Qualifications

• Bachelor's degree preferred; 2+ years of post-secondary education required.
• 2–4 years of experience in a non-profit development office, with focus on prospect research, gift processing, or database management.
• Proficiency in Altru, Raiser's Edge, or similar CRM; strong Excel skills (VLOOKUP, Pivot Tables) preferred.
• Familiarity with wealth screening tools and the ability to synthesize complex data into concise reports.

Responsibilities

• Conduct in-depth biographical and financial research on individuals, corporations, and foundations.
• Prepare comprehensive prospect briefings for Major Gifts Team and Chief Advancement Officer.
• Monitor news and philanthropic trends to identify prospects with Maine affinity or related campaigns.
• Process campaign contributions in Altru.
• Maintain the Prospect Moves system in Altru with up-to-date donor data.
• Enter interactions and reports on behalf of the Chief Advancement Officer.
• Execute timely entry of gifts and multi-year pledges per established protocols.
• Draft personalized acknowledgement letters for major gifts within a 48-hour window.
• Coordinate with Finance for proper gift coding and reconciliation.
• Monitor pledge schedules for multi-year gifts in coordination with gift officers.
• Generate weekly and monthly campaign progress reports for leadership.
• Perform regular data hygiene audits of donor records and wealth attributes.
• Manage guest lists and registration data for high-level events; assist with on-site data capture.
