Job description

The Maintenance Planner / Scheduler is responsible for planning, scheduling, and coordinating facilities, production maintenance, calibration, and planned shutdown activities in support of cGMP manufacturing operations. This role uses the Computerized Maintenance Management System (CMMS), Excel, and Microsoft Project to build executable maintenance schedules, maintain accurate work order data, support compliance-ready documentation, and optimize equipment availability while minimizing impact to production. The position also supports implementation, maintenance, and continuous improvement of CMMS processes.

  • Responsible for coordinating production, facility and calibration maintenance personnel to support workloads, projects and shutdowns at all company Colorado facilities.
  • Coordinate work orders with Management Team, Production Maintenance, Facilities Maintenance and Calibration Technicians, Project Managers and internal customers to support daily manufacturing and facilities operations, processes and projects.
  • Optimize available equipment/area production windows for execution of maintenance tasks.
  • Determine urgency, estimated completion and priority status, update and correct descriptive content for Corrective Maintenance (CM) work orders and coordinate execution of CM work orders with manufacturing leadership.
  • Responsible for contractor planning and scheduling to assist maintenance activities.
  • Work closely with the manufacturing scheduling team to coordinate maintenance and project work on production equipment and critical utilities to minimize equipment downtime and production schedule impact.
  • Coordinate scheduling of calibration activities to ensure equipment compliance, minimize operational disruption, and support uninterrupted manufacturing operations.
  • Develop, maintain and optimize preventive maintenance schedules to support equipment reliability, regulatory compliance and achievement of maintenance performance metrics.
  • Responsible for overall scheduling and planning for company planned maintenance shutdown activities and other scheduled maintenance.
  • Use CMMS, Excel spreadsheets and Microsoft Project for planning, scheduling and reporting all maintenance activities.
  • Responsible for ongoing contact with internal customers for work order questions, issues and scheduling.
  • Provide reports and track metrics on work order status such as past due and current open work orders, schedules and asset information.
  • Continually monitor work order backlog and schedule work orders to achieve work order backlog metric.
  • Initiate specific work orders and instructions which support the handling and installation of manufacturing and research equipment based on the customer’s scope and requirements.
  • Serve as back-up to manage CMMS system users.
  • Convert CMMS service requests to work orders and place the work orders in the appropriate status.
  • Compile and analyze data, prepare reports and make recommendations for changes and/or improvements related to facilities and production maintenance.
  • Look for opportunities to reduce planned maintenance shutdown durations and minimize required maintenance windows to improve the availability time of production equipment.
  • Kit for PMs and work with MRO Coordinator and Reliability Specialist to establish proper min/max quantities in CMMS for spare parts.
  • Perform other duties as assigned.
Knowledge, Skills & Abilities
  • Knowledge of preventive maintenance program requirements for GMP equipment, facilities, utilities, calibration, spare parts, and shutdown planning in a regulated pharmaceutical or medical device manufacturing environment.
  • Ability to create and revise GMP and other technical documents and procedures.
  • Proficiency in MS Excel, Word, and scheduling software (e.g., MS Project).
  • Thorough knowledge of maintenance activities and expertise in CMMS (Blue Mountain, Maximo, etc.).
  • Ability to prioritize, schedule and logistically support multiple projects in a fast-paced environment.
  • Ability to work independently and make independent decisions.
  • Ability to work with minimal supervision.
  • Familiarity with a variety of the pharmaceutical industry’s concepts, processes, and procedures, including cGMPs.
  • Ability to assess and define problems, establish facts and draw valid conclusions.
  • Ability to comprehend written, graphic and quantitative information.
  • Ability to effectively coordinate and influence cross-functional stakeholders, including Manufacturing, Engineering, Maintenance, Calibration, Quality and external contractors to successfully execute maintenance schedules, shutdown activities and operational priorities.

Education & Experience
  • Associate’s Degree or equivalent combination of education and experience required.
  • Experience working in a maintenance planner, scheduler, or maintenance coordination capacity in a pharmaceutical, biotechnology, medical device, or other regulated manufacturing environment strongly preferred.
  • Three or more years of experience with facilities and/or production maintenance in a regulated industry, preferably manufacturer of sterile drug products and/or medical devices preferred.
  • Experience utilizing an automated PM scheduling, work order, spare parts, and calibration software package (Maximo preferred).
Working Conditions
  • Laboratory and manufacturing environment. Position may require weekend and/or evening work.
Compensation and Benefits
  • Pay: $32.00 - $34.00 per hour, depending on experience
