Job description

Coordinates and schedules maintenance activities using a Computerized Maintenance Management System (CMMS) to ensure the efficient operation of facilities and equipment. Collaborates with maintenance technicians, supervisors, and other departments to prioritize, schedule, track work orders, and ensure compliance with safety, healthcare regulations, and quality standards.

Salary: $24-27/hour

Major Responsibilities & Duties:
  1. Review and prioritize incoming work orders based on urgency, criticality, and resources.
  2. Create and maintain accurate records of work orders, including tasks, locations, parts, and time estimates.
  3. Assign work orders to technicians and ensure resource availability.
  4. Monitor work order status and update schedules accordingly.
  5. Review completed work for accurate data entry into the system.
  6. Develop and manage maintenance schedules to optimize resources.
  7. Coordinate with departments to minimize downtime and disruptions.
  8. Adjust schedules for unplanned events.
  9. Communicate schedules effectively to personnel and departments.
  10. Ensure preventive maintenance is scheduled and completed timely.
  11. Monitor and adjust preventive maintenance based on equipment performance.
  12. Provide updates on work order status to management.
  13. Communicate with maintenance teams regarding task understanding and progress.
  14. Prepare reports on work order completion, downtime, and equipment performance.
  15. Collaborate with inventory to ensure availability of parts and materials.
  16. Monitor inventory levels and reorder as needed.
  17. Ensure compliance with health, safety, environmental, and regulatory standards.
  18. Maintain documentation for audits and inspections.
  19. Identify opportunities to improve scheduling processes.
  20. Work with teams to optimize workflows and performance.
Knowledge, Skills, and Abilities:
  • Strong organizational and time-management skills.
  • Excellent communication and interpersonal skills.
  • Ability to manage multiple tasks and prioritize.
  • Attention to detail and accuracy.
  • Knowledge of maintenance practices and terminology.
  • Proficiency in Microsoft Office and CMMS software.
Required Qualifications:
  • High school diploma or equivalent.
  • At least 3 years of experience in maintenance scheduling or related field.
  • Valid driver's license and good driving record.
  • Pass annual Motor Vehicle Registration (MVR) check.
Preferred Qualifications:
  • Associate's degree or higher in Maintenance Management, Industrial Engineering, or related field.
  • Experience with CMMS software.

Physical Requirements, Equipment Usage, Work Environment:
  • Office environment with occasional site visits. Ability to sit or stand for extended periods, lift up to 30 pounds, and perform walking, bending, and reaching.
