Job summary

Sterling Pharma Solutions’ Germantown, Wisconsin site seeks a Maintenance Parts Coordinator to manage spare parts, inventory in the CMMS, and storeroom operations, ensuring parts are available when needed and records are accurate.

You will work with maintenance teams, coordinate purchasing, track open POs, support 6S, and assist with reliability initiatives. This is an on-site role in Operations Support.

Qualifications

  • 3+ years in inventory management, purchasing, or storeroom operations.
  • Experience using a CMMS or inventory management system.
  • Strong organizational skills and attention to detail.

Responsibilities

  • Receive, inspect, label, and store maintenance materials and spare parts.
  • Maintain accurate CMMS inventory levels and track usage.
  • Coordinate purchasing and create purchase requisitions.
  • Verify parts on receipt and manage vendor communications.
  • Support 6S and continuous improvement initiatives.

Maintenance Parts Coordinator

The Maintenance Parts Coordinator is accountable for driving results in a fast-paced environment by working with team members within the maintenance department in part identification, purchasing, receipt and management at our Germantown site. This role will ensure that critical spare parts are available when needed, inventory accuracy is high and CMMS data is reliable, and storeroom operations are organized, efficient, and inspection-ready. Opportunities for cost savings and process improvement will be proactively identified for the maintenance team as well. The position requires execution of the Sterling Values and non-negotiables, as well as expertise in functional competencies included in this position profile.

Essential Functions
Inventory & Materials Management
  • Receive, inspect, label, and store incoming maintenance materials and spare parts
  • Maintain accurate inventory levels within the CMMS system
  • Track parts usage against work orders and purchase parts as needed
  • Perform routine cycle counts and participate in physical inventories
  • Identify obsolete, excess, or critical spare parts and communicate recommendations
Storeroom Organization & Control
  • Maintain a clean, organized, and secure storeroom environment
  • Ensure proper storage practices (FIFO, environmental controls, kitting where applicable)
  • Establish and maintain standardized labeling and bin locations
  • Support 6S and continuous improvement initiatives
Procurement & Vendor Coordination
  • Coordinate purchasing of maintenance parts and supplies
  • Create or support purchase requisitions for stocked and non-stocked items
  • Track open purchase orders and follow up with vendors
  • Verify correct parts, quantities, and documentation upon receipt
  • Coordinate returns, warranties, and repairable spare processes
Maintenance & Reliability Support
  • Assist in identifying critical spares and establishing min/max levels
  • Provide feedback to maintenance planners on usage trends and lead times
  • Support equipment shutdowns, outages, and emergency repairs
  • Perform basic preventive maintenance tasks and assist maintenance mechanics as needed

Education And Experience
  • High School Diploma or GED.
  • 3+ years of experience in inventory management, purchasing, or storeroom operations
  • Experience using a CMMS or inventory management system
  • Strong organizational skills and attention to detail
Travel Requirement
  • Up to 5% travel required.
