Job summary

Feltex (Pty) Ltd seeks a Maintenance Buyer to source and purchase maintenance materials, spare parts and services for plant operations. You will manage supplier relationships, obtain quotations, process orders and ensure timely delivery of required items.

You will also load purchase orders on ERPLX/MINGLE, handle invoicing with finance, and maintain stock accuracy with monthly KPI updates for audit readiness.

Qualifications

• Grade 12/Matric is required.
• Minimum 3 years’ working experience in maintenance buying or related procurement role.

Responsibilities

• Receive daily order requirements from Maintenance Foreman/Manager.
• Purchase maintenance spares, consumables, stock items, machinery and tools from accredited suppliers at best price and delivery time.
• Load purchase orders on ERPLX / MINGLE for Maintenance, IT, SHE, Quality, Production.
• Process supplier invoices and ensure timely payments.
• Ensure on-time delivery of orders and reconcile delivery notes with invoices.
• Maintain stock, perform monthly stock counts, and enforce FIFO in stores.
• Coordinate with Safety/Compliance on PPE and equipment maintenance purchases.

Job description

We are looking for a Maintenance Buyer to support our plant operations by sourcing and purchasing maintenance materials, spare parts and services. The role will manage supplier relationships, obtain competitive quotations, process orders and ensure timely delivery of required items.

• Minimum 3 years’ working experience

Duties & Responsibilities

Maintenance Buying:

• Receives daily order requirement from Maintenance Foreman/Manager
• Purchasing of maintenance spares / consumables, stock items, machinery, tools and other orders with accredited suppliers at the best possible price and best delivery time
• Loading of Purchase orders on ERPLX / MINGLE for all departments Maintenance, IT, SHE, Quality, Production
• Retrieving purchase orders after approval and sending to suppliers via email, print copy with quote and file until invoice is received
• Ensure orders are delivered on time
• Checks receipts from suppliers against order
• Matches delivery note from supplier against invoice
• Receiving of Invoices on ERPLX / MINGLE – submitting to finance department for payment

Equipment Maintenance:

• Ensures that material handling equipment in workshop is maintained in safe working order
• Arranging Load testing yearly and maintenance on all forklifts in plant when needed & repairs and maintenance on all forklifts
• Arranging 3montly and yearly inspections of all lifting equipment – cranes, slings, racking, pallet jacks and so forth – and all repairs & maintenance on lifting equipment
• Keeping lifting equipment, forklift files up to date and for Audit purposes
• Ensure unplanned (breakdowns) downtime is captured and breakdown sheets updated daily
• Update Maintenance KPI’s monthly for MMR Preparation.

Stock Control:

• Takes stock of all finished maintenance spares on monthly basis
• Assisting with stock take when needed on monthly basis
• Booking out of stock and processing on maintenance sheet and submitting to finance
• Reconciles stock count with computer stock balances
• Controlling of stock in stores
• Ensure that FIFO principles are adhered to
• Ensures that material and spares are stacked safely and according to safety regulation.

Time & Attendance:

• Records time and attendance, if required
• Checking and submitting time sheets for contractors
• Checking exceptions and approving of hours on SACO for wages maintenance employees
• Submit hours to wage department & Adorp Blu
• Checking, Process & submitting of maintenance staff salary staff overtime & petrol claims to Payroll

SHE:

• Ensures housekeeping and safety rules are adhered to
• Assisting with purchasing of plant PPE
• Assisting with issuing of PPE to employees
• Identify potential hazards and critical safety issues in the workplace
• Address workplace hazards and risks
• Work safely and use safety equipment

Finance:

• Maintaining Maintenance expenditure sheet with daily spend for all departments updated daily or when purchase orders are raised – on EXCEL sheet
• Monthly Maintenance Accruals for all departments on spend sheet – submit to Maintenance Manager
• Month end reports done on Maintenance expenditure and submitting to Maintenance Manager
