Job summary

Theuniversityunion is seeking a detail-oriented Administrative Associate in Hagerstown, MD. The role supports the Maintenance and Property Management teams, coordinates service requests, and communicates with residents and contractors to keep operations running smoothly.

Key requirements include a high school diploma, strong Excel/Word skills, excellent written and verbal communication, and a valid driver's license with reliable transportation.

Responsibilities

  • Review the Maintenance Supervisor’s Move-Out Inspection Notes and assist with coordinating the turns process.
  • Update Make Ready board.
  • Schedule and monitor vendors and contractors for turns based on schedule and needs.
  • Scheduled and monitor maintenance personnel for turns based on schedule and needs.
  • Assign Maintenance Personnel to walk vacant readies and create punch lists
  • Review all online service requests.
  • Communicate with office personnel regarding issues or concerns with work orders.
  • Contact and schedule vendors needed to complete service requests.
  • Review work orders when complete to ensure all information included.
  • Close work orders in OneSite.
  • Communicate with residents about emergency shut-offs, in-unit inspections, special projects like roof work, drywall repair, and high-utility usage checks.
  • Asset Data entry while coding invoices for Supervisor review.
  • Coordinate and schedule appropriate safety training for maintenance employees.
  • Create and monitor completion of preventative maintenance schedule
  • Bending, climbing stairs, kneeling, lifting up to fifteen pounds, stretching, squatting, and walking
  • Running and lifting over fifteen pounds
  • Recommend changes to the position and job duties which will improve efficiency and safety
  • Reports to the Maintenance Supervisor
  • Takes direction from the Director of Property Management, Assistant Director of Property Management, Property Manager, and Maintenance Supervisor
  • Internal contacts: managers and associates
  • External contacts: residents, vendors, and guests
