Job summary

Better Tax Relief in Irvine, CA is seeking a Mailroom Documents Admin to support our Case Managers and clients in the tax resolution process. You will gather vital documentation, manage digital client files, and keep daily mailroom operations running smoothly.

This onsite, full-time role pays $18-$20 per hour. You will act on client outreach, update client profiles in Logics CRM, navigate THS software to track case progress, and ensure accurate handling of IRS transcripts and tax forms.

Qualifications

• Background in case management or client services.
• Excellent verbal and written communication.
• Ability to handle confidential information with discretion and professionalism.
• Strong organizational skills and attention to detail.
• Experience with CRM platforms (Logics CRM) and THS software is preferred.

Responsibilities

• Proactively follow up with clients via text and email regarding missing documents and deadlines; return all client callback requests within 24 hours.
• Update client profiles in Logics CRM and navigate THS software to track case progress.
• Retrieve, upload, and properly rename IRS transcripts and state/federal tax forms while ensuring data integrity.
• Generate reports within THS and software systems, identifying delays or missing paperwork and providing updates to Case Managers.
• Assist with sorting, scanning, assembling outgoing mail, and managing physical and digital client correspondence.
