LaSalle Management is seeking a full-time, on-site Mailroom Clerk to handle inmate mail processing in a day shift (M-F, 8-4). Pay is $19.46 per hour.

The role requires reviewing mail and publications, scanning for security concerns, and maintaining accurate records. Candidates should have a high school diploma or equivalent, strong communication and organizational skills, and the ability to work under pressure.

Responsibilities

  • Review incoming books and inspect inmate mail and packages.
  • Maintain records and files for mailroom activities.
  • Issue postage and writing materials to inmates and document issuance.
  • Interpret mail rules and procedures; communicate with staff as needed.
  • Prepare forms related to mailroom processing.
  • Respond to inmate questions and requests about correspondence.
  • Ensure confidentiality and prevent inmates from accessing others' mail.
  • Scan outgoing mail for contraband and report any concerns immediately.
  • Open and inspect incoming mail (except legal mail) for security issues.
  • Sort mail by addressee and record housing information on envelopes.
  • Deliver processed mail to housing areas; handle undeliverable mail as required.
  • Screen publications for distribution to offenders as needed.

Description

Day shift M-F 8-4

Essential Duties and Responsibilities:

Review incoming books intended for inmates’ receipt; inspect general inmate correspondence, publications and packages.

Maintain all records and files pertinent to processing inmate correspondence and mailroom activities.

Issue postage and writing materials to indigent inmates and maintain all necessary records pertinent to the issuance of such postage and materials.

Interpret correspondence rules and obtain information on proper procedures for handling inmate correspondence.

Prepare various forms related to the processing of inmate correspondence and mailroom functions.

Respond to inmate questions, complaints, and/or requests pertaining to their correspondence.

Ensure inmates do not handle other inmates’ correspondence.

All outgoing mail shall be scanned for content (contraband, gang related material, security issues, etc.). Any suspicious material shall be reported immediately.

All incoming mail (with the exception of legal mail) shall be opened and the contents scanned and examined for contraband or any material, written or otherwise, that may endanger the order or security of the facility. All correspondence shall be resealed.

All money orders addressed to detainees will be brought to the Business Manager daily. All cash currencies shall be returned to the sender. All money orders mailed for a detainee that is no longer housed here shall be returned to the sender utilizing proper procedures.

All mail shall be sorted by addressee name and number and the offender’s current housing assignment shall be hand written on outside of the envelope.

Upon completion of processing, all mail shall be delivered to the housing area.

All un-deliverable mail shall be returned to the mail room for proper processing.

Mailroom personnel shall be responsible for the proper screening of all publications for distribution to offenders.

Required Knowledge Skills/Abilities:

Excellent organizational skills and attention to detail.

Excellent time management skills with a proven ability to meet deadlines.

Ability to function well in a high-paced and at times stressful environment.

Proficient with Microsoft Office Suite or related software.

Proficient in reading and speaking Spanish preferred

Must have the ability to follow direct orders and communicate clearly with the chain of command.

Must be able to pass a drug test and criminal background.

Education and Experience:

High school diploma or equivalent.

Proficiency in reading and speaking Spanish is preferred.

Valid driver’s license.
