Overview
Objective:
Centralized mailroom operations, including handling intake, processing, and distribution of incoming mail received via FedEx, UPS, USPS, GLS at our corporate office, processing outgoing mail, and imaging documents.
Essential Job Functions:
- Confidentiality: Maintains confidentiality.
- Organization: Develops and implements relationship strategies, ensuring high-touch customer service to meet customer needs.
- Coordination: Uses organizational skills and technology to fulfill all mail requirements.
- Communication: Communicates effectively both verbally and in writing with internal and external stakeholders.
- Equipment: Operates office equipment such as telephones, computers, copiers, scanners, and FAX machines.
- Physical: Ability to sit and stand for extended periods; normal hearing and vision.
Responsibilities
- Receive, process, and route all incoming mail.
- Sort mail upon notification from the receptionist for deliveries from FedEx, UPS, USPS, GLS, or courier services.
- Log FedEx and UPS shipments and deliver to Post Closing, Servicing, and Finance/Accounting.
- Deliver GLS, courier, and title company packages to Post Closing.
- Log collateral packages and trailing documents into Encompass with received date via batch update.
- Open post-closing mail, remove staples, and organize documents with binder clips.
- Coordinate with remote employees for alternative delivery options.
- Review, sort, and deliver standard mail to appropriate departments 1-2 times daily.
- Notify IT of equipment returns.
- Open and process insurance mail requiring action, including policies, checks, notices, warnings, and property tax documents.
- Ensure FedEx packages and bulk items are placed in the designated pick-up area by 4:00 PM.
- Process USPS outgoing mail by 4:30 PM, including fulfilling department requests such as letters and refunds.
- Scan documents for individuals and confirm if originals need to be retained.
- Assist with document imaging for post-closing trailing documents and collateral.
- Occasionally deliver packages to local FedEx drop-off locations.

Education:
- High school diploma or equivalent.
Compensation
Minimum: USD $18.00/hr
Maximum: USD $24.00/hr
