Job summary

Jones Lang LaSalle Incorporated (JLL) is seeking a Mailroom and Records Clerk to support daily mailroom operations, shipping and receiving, and records handling within our San Antonio office. You will collaborate with cross-functional teams to ensure efficient office services, event support, and facilities-related activities while delivering a positive employee experience.

What this job involves:

The Mailroom and Records Clerk is responsible for supporting daily mailroom operations, shipping and receiving activities, records handling, and customer service delivery within the office environment. This role partners with cross-functional teams to support office operations, workplace services, event support, and facilities-related activities while maintaining operational efficiency and a positive employee experience. The position requires strong organizational skills, attention to detail, and the ability to manage both routine responsibilities and special projects in a fast-paced environment.

What your day-to-day will look like:

• Manage incoming and outgoing mail and packages, including domestic and international shipments through courier services such as FedEx, UPS, DHL, and USPS.
• Sort and distribute business mail while maintaining accurate shipment and records tracking processes.
• Maintain inventory levels for shipping, mailroom, and office supplies to support daily operations.
• Utilize internal systems to manage office service requests, tickets, and operational support activities.
• Support office operations through conference room setups, office moves, ergonomic support requests, and event-related activities.
• Partner with cross-functional teams to support operational alignment and enhance the employee experience.
• Provide timely communication, service updates, and operational support while maintaining a welcoming and customer-focused environment.

Required Qualifications

• Demonstrated experience in a customer service, hospitality, mailroom, or workplace operations role.
• Experience working with courier and shipping systems including FedEx, UPS, USPS, or DHL.
• Strong communication, organizational, and interpersonal skills.
• Ability to prioritize tasks, solve problems effectively, and manage multiple responsibilities simultaneously.
• Ability to work independently while collaborating closely with workplace or office operations teams.
• Ability to handle confidential and sensitive information with professionalism.
• Ability to lift up to approximately 50 pounds.

Preferred Qualifications

• Experience supporting workplace operations, office moves, conference room setups, or event coordination.
• Familiarity with office ticketing or workplace service request systems.
• Strong attention to detail and proactive problem-solving abilities.
• Experience collaborating with cross-functional teams in a fast-paced office environment.
• Comfortable supporting operational projects, tasks, and service improvements.
• General computer proficiency with familiarity using Apple hardware/software and Google Workspace.
