Trinity Washington University – Mail & Print Associate

Salary range: $21.70 to $23.84 hourly rate.

Responsibilities
  • Mail & Package Handling: Receive, sort, and distribute incoming mail and packages (UPS, FedEx, USPS) to faculty, staff, and student mailboxes.
  • Logging & Tracking: Maintain digital or physical logs for incoming packages, ensuring accurate tracking and delivery verification.
  • Outgoing Mail: Process outgoing campus and U.S. mail, including weighing, metering, and applying correct postage.
  • Customer Service: Assist students and staff with inquiries, package pick‑ups, and locating missing mail; verify identification when required.
  • Operational Support: Operate mailroom equipment such as postage meters, scanners, and letter openers.
  • Safety & Organization: Maintain a clean, safe, and secure mailroom area, adhering to confidentiality regulations.
  • Photocopying & Document Reproduction: Operate, adjust, and maintain copiers, scanners, printers, and binding equipment; collate, staple, fold, drill, laminate, and bind documents.
  • Production & Workflow: Review job requests, schedule print runs to meet deadlines, and ensure accuracy.
  • Supply & Machine Maintenance: Monitor paper and toner supplies, clear paper jams, and perform minor troubleshooting or call for service.
  • Clerical Support: Sort, distribute, or ship completed jobs, documents, or mail.
  • Quality Control: Ensure all materials are reproduced clearly, formatted correctly, and kept confidential.
Knowledge, Skills & Abilities
  • Strong customer service orientation and interpersonal skills.
  • Attention to detail with high accuracy in sorting, logging, and reproducing documents.
  • Excellent organizational skills and ability to handle high volumes efficiently.
  • Effective communication for customer service, troubleshooting, and coordination with students, faculty, and staff.
  • Strict adherence to confidentiality and privacy policies.
  • Ability to operate and troubleshoot specialized copy equipment.
  • Capacity to manage multiple projects and meet strict deadlines.
  • Physical ability to lift paper cartons, stand for extended periods, and operate office equipment.
Qualifications
  • High School Diploma or equivalent (e.g., GED).
  • Prior experience in a mailroom, shipping/receiving, or high‑volume customer service role.
  • Experience with computer‑based applications such as Microsoft Office.
  • Ability to lift up to 50 lbs. and stand for extended periods.
  • Valid U.S. Driver's License (preferred).
  • Experience in a copy center, print shop, or administrative office (preferred).
Work Schedule

40 hours per week.

May be required to work evenings and weekends; employees must work in person.

Physical Demand
  • Lift and transport packages up to 50 lbs.; stand for extended periods.
  • Perform tasks requiring sitting, talking, hearing, handling, or operating tools, controls, and computer equipment.
  • Maintain hand‑eye coordination for operating computers and office equipment.
