You will handle scheduling, parts inventory, customer and technician communications, and ensure smooth workflow across all service projects. Key duties include coordinating appointments, tracking parts, maintaining accurate records, and ensuring documentation in Service Fusion and HubSpot.

Qualifications

• Minimum 2 years of experience in service coordination or dispatch.
• Proven ability to multitask and manage complex scheduling with multiple stakeholders.
• Strong customer service orientation with excellent verbal and written communication.
• Proficiency with SaaS applications and service management software (Service Fusion, HubSpot preferred).

Responsibilities

• Schedule and coordinate service appointments 1–2 weeks in advance.
• Monitor technician arrival/departure times and GPS tracking for timely service.
• Manage inventory of parts and materials for upcoming jobs.
• Receive, log, and assign incoming parts to service orders.
• Communicate proactively with customers regarding service status.
• Oversee service documentation in Service Fusion and HubSpot CRM.
• Process billing for service calls and parts, including upfront service fees.
• Maintain service records, customer files, and weekly revenue reports.
• Support warranty claim processing, including parts ordering.
• Provide excellent phone and email customer support.
• Collaborate with technicians to ensure accurate equipment records and job completion.
