Job summary

Vichara Technologies is seeking an experienced Property Manager to oversee a multi-location residential portfolio, including houses, villas, vacation homes, and short-term rentals. The role requires hands-on supervision, strong vendor management, and frequent travel across New York, Florida, Puerto Rico, and other regions.

The ideal candidate is highly organized, capable of inspecting properties in person, coordinating vendors, and ensuring top-tier service.

Qualifications

• Prior experience managing high-end residences, luxury villas, vacation homes, or hospitality properties.
• Experience with Airbnb/short-term rentals or multi-property portfolios.
• Willing to travel frequently between locations.

Responsibilities

• Manage day-to-day operations and upkeep of multiple residential properties across locations.
• Oversee houses, villas, vacation properties, and short-term rental properties owned by management.
• Coordinate housekeeping, landscaping, maintenance, repairs, pest control, pool services, utilities, security and other services.
• Identify maintenance issues proactively and ensure repairs are completed promptly and to a high standard.
• Manage and supervise local vendors, contractors, housekeepers, handymen, and service providers.
• Obtain quotations, negotiate vendor pricing, approve work within guidelines, track expenses.
• Conduct regular property inspections and maintain detailed checklists for each location.
• Ensure properties are prepared before arrivals of owners, management, family, or guests.
• Coordinate arrivals, departures, cleaning schedules, linen management, supplies, groceries, and other property requirements.
• Manage short-term rental operations where applicable, including guest readiness and turnovers.
• Maintain inventories of furniture, appliances, equipment, keys, access cards, and household supplies.
• Track utility bills, maintenance contracts, insurance documents, permits, and recurring services.
• Respond quickly to emergencies such as plumbing, electrical, HVAC, security, weather, or property damage issues.
• Provide management with regular updates on property condition, upcoming maintenance, expenditures, and issues.
• Develop reliable local vendor networks in each geography.
