Gurney's Inn Resorts & Seawater Spa in Montauk is seeking a Conference Services Manager to coordinate and manage all aspects of internal and external events. You will create and service Banquet Event Orders (BEOs), consult on menus, manage client/vendor relationships, and oversee logistics and payments to deliver exceptional service.

• Bachelor's degree preferred in hospitality management, event planning, or related field.
• 3+ years of experience in catering sales, event planning, or hospitality, focusing on luxury events.
• Strong organizational and multitasking skills with attention to detail.
• Excellent communication and relationship-building abilities.
• Proficiency in event management software, invoicing systems, and property management systems.
• Flexibility to work evenings, weekends, and holidays.
• Financial acumen with budget management and cost control.

Responsibilities

• Create and service Banquet Event Orders (BEOs) for internal and external events.
• Conduct on-site tours for prospective clients, showcasing event spaces and catering capabilities.
• Collaborate with clients on menu consulting and creation, tailoring offerings.
• Ensure all external events are executed per contract terms and manage internal bookings.
• Act as main contact for clients, planners, and vendors.
• Coordinate client and vendor communications and logistics.
• Create invoices and collect payments, manage budgets to meet food and beverage minimums.
• Schedule and execute Wedding Food Tastings 3 months before the wedding date.
• Coordinate logistics and communication for events, including BEO distribution and team coordination.
• Work with setup team for load-ins and event execution.
• Oversee event logistics on the day, onsite throughout the event.
• Perform other reasonable duties as required by management.
