SUMMARY:
The Warehouse Customer Service Supervisor is responsible for leading the Warehouse CS team and serving as a key operational bridge between Warehouse Operations, Air Import, Air Export, Domestic Dispatch, and other internal and external stakeholders. This role requires strong end-to-end operational knowledge, people management skills, sound judgment, and the ability to independently manage daily operations and resolve exceptions.
DUTIES AND RESPONSIBILITIES:
1. Team & Shift Management
- Manage daily shift activities, staffing, workload allocation, schedules, attendance, timecards, overtime, and shift coverage.
- Ensure effective shift handoff and proper communication of pending shipments, exceptions, and operational priorities.
- Manage team and individual performance through regular coaching, performance reviews, training, and development.
- Maintain appropriate records of employee performance, attendance, coaching, and training.
- Hold team members accountable while maintaining a professional and productive work environment.
2. End-to-End Operational Management & Performance
- Understand and oversee the Warehouse CS process from shipment planning and warehouse receipt through handling, release, loading, and dispatch.
- Prioritize inbound and outbound workload based on shipment urgency, customer requirements, Dispatch needs, and available resources.
- Supervise team execution and ensure shipment status, system updates, documentation, and operational requirements are handled accurately and timely.
- Monitor operational performance and KPIs, identify service or process gaps, and take appropriate corrective action.
- Proactively identify potential delays or risks and resolve operational problems before they impact customers or service commitments.
3. Warehouse Coordination & Critical Shipment Control
- Work closely with Warehouse Operators and Warehouse Operations leadership to coordinate daily execution and provide clear shipment priorities and handling instructions.
- Maintain close visibility and control over high-value (HV), critical, NFO, expedited, and other special-handling shipments.
- Monitor important loads through warehouse handling and loading to ensure instructions, timelines, security requirements, and service expectations are properly followed.
- Address and escalation discrepancies, damages, shortages, loading issues, delays, or other operational exceptions immediately.
4. Cross-Department Collaboration & Problem Solving
- Collaborate closely with Air Import, Air Export, Domestic Dispatch, Warehouse Operations, and other supporting teams to ensure smooth end-to-end execution.
- Act as a key escalation point for Warehouse CS operational issues and coordinate across departments to drive timely resolution.
- Understand the priorities and requirements of different departments and translate them into clear warehouse execution plans.
- Maintain effective communication with internal and external stakeholders regarding operational status, exceptions, and service risks.
5. Process Improvement, Compliance & Service Quality
- Continuously review workflows and identify opportunities to improve efficiency, accuracy, communication, and service quality.
- Work across departments to address recurring operational issues, improve SOPs, and implement sustainable solutions.
- Ensure Warehouse CS activities comply with company SOPs, safety and security policies, customer requirements, and applicable regulatory requirements.
- Support standardization, training, and implementation of new or improved operational processes.
- Take ownership of Warehouse CS operational performance and demonstrate the ability to independently manage daily operations.
- Develop team capability through coaching, cross-training, accountability, and succession planning.
- Demonstrate strong judgment, initiative, problem-solving ability, and cross-functional leadership.
QUALIFICATIONS:
- Experienced in warehouse customer service, freight forwarding, air freight, transportation, or related logistics operations.
- Strong understanding of warehouse operations and inbound/outbound shipment processes; knowledge of Air Import, Air Export, and Domestic Dispatch is strongly preferred.
- Previous supervisory or team leadership experience, including scheduling, timecard management, performance management, coaching, and employee development.
- Strong operational judgment and ability to prioritize and solve problems in a fast-paced environment.
- Experience handling HV, critical, NFO, expedited, or other time-sensitive shipments is preferred.
- Strong communication and cross-functional collaboration skills.
- Working knowledge of warehouse/shipment management systems, Microsoft Office, and operational reporting.
- Ability to work flexible hours and provide operational support based on business needs.
