The Scheduling Coordinator provides customer service support to prospective and participating product donors. Provide guidelines to product donors regarding the receipting, logistics, scheduling, and transport of food and grocery items. Provides technical assistance according to established guidelines. Responsible for scheduling and coordinating product deliveries with all parties involved both internally and externally. Collaborates with internal departments to find solutions to logistical challenges.
Duties and Responsibilities:
- Coordinates delivery schedules with Inventory Control and Operations department, ensuring product is received in accurate quantities according to schedule. Will work with the Distribution teams for the attributed program products.
- Coordinate appointment scheduling to ensure adherence to customer pickup requirements, working closely with Product Acquisitions, Inventory Planning, and Transportation/Logistics team for driver schedules.
- Communicate frequently with internal transportation/logistics team and external carriers to ensure consistency in direction and expectations.
- Coordinate carrier pickup and delivery times and provide daily shipment plans to logistics team
- Provides customer service to product donors and prospective or existing donors and assists with conflict resolution regarding pick-ups, product deliveries, donor orders, reports and other related topics.
- Responsible for receiving and maintaining current food safety certificates for all product donors.
- Assists in database maintenance, data entry, and other administrative functions as required.
- Performs other such duties as assigned by the manager.
Skills and Qualifications:
- 3+ years of experience with a logistics/planning
- Communicates accurately, honestly, supportively and in a timely manner with department and interdepartmental team members. Demonstrates strong planning, organizing, time management and interpersonal skills.
- Self-starter who is able to work with minimum supervision. Works effectively under pressure to meet established goals and objectives.
- Demonstrates problem-solving and organizational abilities. Participates in operational aspects of the department, and maintains/participates in performance improvement activities within the department.
- Displays professional and personal integrity.
- Computer experience and proficiency with Microsoft Office and or Google Suite to include MS Word, Excel, Google Docs and Sheets
- Detail-oriented, strong analytical capabilities needed to formulate and prepare reports
- Passion for the Community and commitment to the values of serving others.
