Primary Objective
The Logistics & Purchasing Coordinator is responsible for managing incoming and outgoing materials, maintaining inventory accuracy, coordinating shipments, and purchasing materials and supplies needed for production and installation operations. This role plays a critical part in ensuring projects are delivered on time, materials are available when needed, and inventory is properly tracked, organized, and on budget.
Key Responsibilities
Shipping & Receiving
- Receive, inspect, and verify incoming shipments for accuracy and quality.
- Unload and organize incoming materials, hardware, and sign components. [KS2]
- Prepare and package finished signs and materials for shipment or delivery.
- Coordinate freight pickups, local deliveries, and carrier scheduling.
- Maintain shipping records, packing slips, bills of lading, tracking information, and any required permits.
- Ensure all outgoing products are packaged securely and professionally.
- Assist with loading installation vehicles and preparing job site materials while coordinating with project managers to ensure the delivery window aligns with the install schedule.
- Maintain clean, safe, and organized warehouse and shipping areas.
Purchasing
- Order materials, supplies, tools, and equipment required for production and installation.
- Monitor inventory levels and replenish stock as needed.
- Develop and maintain relationships with vendors and suppliers.
- Compare pricing, negotiate costs, and identify cost‑saving opportunities.
- Track purchase orders, back orders, and ensure timely delivery of materials.
- Work closely with production, project management, and leadership teams to forecast material needs.
- Coordinate with project managers and estimators when substitutions or upgrades affect job cost.
- Resolve issues related to shortages, damaged goods, or incorrect shipments.
- Maintain accurate purchasing and inventory records.
Inventory & Operations Support
- Conduct routine cycle counts and inventory audits.
- Organize and label inventory for efficient retrieval.
- Assist with job staging and material preparation for production and installation teams.
- Support continuous improvement efforts related to warehouse organization and inventory processes.
- Follow all company safety procedures and OSHA guidelines.
Qualifications
Required
- 2+ years in shipping/receiving, purchasing, or warehouse operations (sign, fabrication, or custom manufacturing strongly preferred)
- Comfortable with ERP or inventory software; able to learn SquareCoil quickly (training provided)
- Strong attention to detail with PO matching, inventory counts, and freight documentation
- Solid written and verbal communication for vendor and internal coordination
- Ability to lift 50+ lbs and operate a forklift/pallet jack
- Valid driver’s license and be able to pass a DOT physical
Preferred
- Prior experience with SquareCoil or another sign-industry ERP (Cyrious, Shopvox, etc.)
- Familiarity with sign-industry materials and vendors
- Experience arranging LTL freight for oversized loads
- Forklift certification
