The ideal candidate is proactive, reliable, and comfortable working remotely for international teams, with 1–3 years in administrative or similar roles and familiarity with US lending terminology.

Responsibilities

• Support payoffs, draws, extensions, insurance, collections, and loan boarding.

This role will support two Client Success Account Managers by keeping tasks, deadlines, communications, records, and follow-ups organized and on track. The ideal candidate is proactive, reliable, comfortable working independently, and interested in building experience in U.S. private lending and loan servicing.Key Responsibilities:Client Success & Loan Servicing SupportSupport the Client Success Account Managers with daily servicing activities, including payoffs, draws, extensions, insurance, collections, and loan boarding.Manage inboxes, calendars, tasks, and follow-ups to ensure outstanding items are completed on time.Monitor workflows and flag overdue or approaching deadlines.Send routine notices and document requests as directed and maintain accurate loan records.Prepare meeting agendas, capture action items, and send meeting recaps.Maintain trackers and ensure each action item has a clear owner and due date.Special Servicing & Records ManagementMaintain accurate special servicing trackers, including loan status, next steps, deadlines, and assigned attorneys.Track court dates, hearings, sale dates, filing deadlines, and other important servicing dates.Follow up with outside attorneys and stakeholders regarding outstanding items and deadlines.Track attorney invoices and route them for approval.Monitor borrower commitments, missed payments, and returned payments and escalate issues as appropriate.Maintain organized loan correspondence, documents, and email records.Draft routine communications for Account Manager review.Automation & Process ImprovementUse AI and automation tools to improve repetitive workflows and reduce manual work.Assist with creating email templates, filters, reminders, and simple automations.Use AI tools to help convert meeting and call notes into action items and loan file updates.Review all AI-generated content for accuracy before it is used in borrower communications, legal matters, or loan records.Qualifications:Experience & Knowledge1–3 years of experience in administrative support, virtual assistance, legal support, operations coordination, or a similar role.Experience supporting U.S.-based companies or managers is preferred.Experience in U.S. lending, mortgage servicing, real estate, title, or a law office is a plus.Familiarity with loan servicing terms such as payoffs, draws, and extensions is preferred.Familiarity with legal or special servicing terms such as foreclosure, collections, and filings is a plus.Technical & Communication SkillsExcellent written and verbal English communication skills.Strong Google Workspace skills, including Gmail, Calendar, Drive, and Sheets.Experience with CRM or task management tools such as HubSpot, Todoist, or Asana is a plus.Strong organizational skills with the ability to manage multiple tasks and deadlines.Reliable follow-through and the ability to proactively follow up until an issue is resolved.Ability to consistently work during U.S. Eastern business hours.What Success Looks LikeSuccess in this role means keeping the Client Success team organized, ensuring action items and deadlines are consistently tracked and followed through, and making sure no important servicing or special servicing item falls through the cracks.
