Job summary

Avivar Capital is seeking a Loan Closing Administrator to ensure loans are documented in alignment with credit policies. You will coordinate with outside counsel, prepare documents, and manage the closing process for timely funding.

The role requires a paralegal background, 3+ years of loan documentation experience, and travel approximately one week per month. Remote operations with periodic in-person gatherings are expected.

Qualifications

  • Paralegal certificate, preferably with real estate paralegal experience.
  • Minimum of 3+ years documenting commercial loans in a lending environment, ideally in community development or affordable housing.
  • Familiarity with NMTCs, LIHTCs, HTC, and PRIs.
  • Experience or strong interest in CDFIs, impact investing, and community development.
  • Exceptional written and oral communication skills.

About this Role

Avivar Capital is seeking a Loan Closing Administrator to play a critical role on the Debt Capital Solutions team. This position is responsible for ensuring loans are closed and documented in alignment with Avivar’s credit policies and guidelines. The Loan Closing Administrator works closely with outside counsel to prepare legal documents, conduct due diligence, and confirm all conditions precedent are satisfied prior to funding. This role serves as a key communicator among stakeholders, informing borrowers about loan terms, coordinating with external legal counsel, and managing the closing process to ensure loans are completed efficiently and accurately. The individual in this position must possess strong attention to detail, particularly in navigating complex federal and state regulations, credit agreements, notes, guarantees, and collateral documentation. The position is full-time and exempt, reporting directly to the Managing Director of Debt Capital Solutions. Avivar is currently a virtual operation with frequent online meetings and remote offices. The full team aims to gather in-person once per year, with project teams gathering periodically at client meetings and industry conferences. The individual must be willing to travel on average one week per month, which may be more concentrated in certain seasons.

Responsibilities
  • Serve as the primary point of contact during loan documentation, closing, and initial disbursements, providing clear assistance and explanations to borrowers
  • Manage pre- and post-closing functions, including closing checklists, to ensure Counsel receives all required documentation
  • Prepare and/or review draft loan documents, legal descriptions, title reports, and insurance documentation to verify accuracy of terms and collateral information
  • Track and communicate transaction timelines with internal teams and external partners to ensure deadlines are met
  • Oversee internal hand-offs and transitions to ensure smooth movement of responsibilities post-closing
  • Maintain accurate, well-organized electronic loan files with complete audit trails of all documents
  • Stay current on Avivar’s loan policies and protocols and apply them consistently throughout the closing process
  • Maintain and update loan tracking data in Salesforce in line with Avivar’s data policies
  • Prepare reports and documentation to meet internal, external and investor compliance requirements
Requirements
  • Paralegal certificate, preferably with experience working as a real estate paralegal
  • Minimum of 3+ years of experience documenting commercial loans in a lending environment, ideally in community development, nonprofit community facilities, or affordable housing
  • Familiarity and experience with community real estate financing programs such as New Market Tax Credits (NMTCs), Low Income Housing Tax Credits (LIHTCs), Historic Tax Credits (HTC), and Program Related Investments (PRIs)
  • Experience and/or strong interest in CDFIs, impact investing and community and economic development
  • Exceptional written and oral communication skills
  • Effective communication skills for coordinating with borrowers, legal counsel, and internal teams
  • Strong attention to detail and accuracy in reviewing and preparing legal and collateral documentation
  • Proficiency with Microsoft Excel, PowerPoint, Word, Outlook and SharePoint
  • Ability to think and work independently in a fast-paced, team-based environment with minimal supervision
  • Ability to take initiative and work proactively
  • Exceptional team player with a positive attitude and ability to collaborate effectively
  • Excellent problem-solving and analytic abilities
  • Ability to multitask and prioritize projects
