Job summary

Emota, a leading experiential agency, seeks a Project Coordinator in Philadelphia for our Live Event Production team. You will support planning, budgeting, timelines, and stakeholder communications, partnering with Producers and clients to deliver high-impact events.

The role offers hybrid work aligned with our Philadelphia office and requires travel for on-site event support. A passion for live production and 1+ year experience in coordination are essential.

Qualifications

• 1+ years of experience in a project coordination role within live or virtual event production.
• Strong organizational skills with the ability to manage multiple projects and deadlines.
• Experience coordinating meetings, timelines, budgets, and stakeholder communications.
• Proficiency with project management tools and Microsoft 365 suite.
• Willingness to travel and support on-site events as needed.

Responsibilities

• Coordinate event production projects from planning through closeout, under deadlines and budgets.
• Maintain project documentation, timelines and status reports across assigned projects (Smartsheet, MS 365).
• Prepare presentations and documentation for internal and client-facing use.
• Support on-site event setup, delivery and breakdown, including domestic and international travel.
