Job summary

Wizard Studios North Inc. is seeking a Live Event Project Manager for scenic fabrication on a freelance/contract basis. The role spans client intake, cross-functional coordination, pricing, site visits, and on-site leadership to ensure profitable, on-time project delivery.

Responsibilities include developing quotes, maintaining strong client communications, and coordinating with multiple departments. Remote and on-site work flexibility is available for this fast-paced production environment.

Qualifications

• 4+ years of experience in event planning and account management.
• Minimum 1 year in scenic, woodwork, metalwork, or prop shop.
• Expert-level written and verbal communication skills.
• Polished, professional demeanor; projects confidence and enthusiasm.
• Proven success in a client-facing capacity.
• History of building effective cross-functional relationships.
• Proactive with ability to work independently and with teams.
• Organized with strong time-priority skills; works under deadlines.
• Knowledge of Scenic Carpentry, Scenic Painting, Printing, and Metalwork preferred.
• Familiarity with Google Office Suite; Asana or similar PM software; CAD tools.

Live Event Project Manager - Scenic Fabrication - Contract Hire

CHIEF OBJECTIVES OF THIS POSITION

The Project Manager’s core responsibilities include all tasks accountable for the successful execution of their project scope. This includes, but is not limited to, participating in client intake calls as a subject matter expert, spearheading communication between internal and external stakeholders, partnering to design and price project proposals, attending site visits, building and managing on-site teams, and maintaining profit & loss reporting by project. Keys to success include maintaining a positive attitude that promotes teamwork within the Company and creates a favorable image of the Company for clients. While the pace of the work is faster than average, quality is never compromised. The Project Manager may work remotely, from the Wizard Studios office, or on client sites, depending on the needs of the day.

We are currently seeking to fill this position on a freelance/contract basis for the fall-winter season, with an opportunity to continue for the right candidate(s).

Reports to: Director of Production - Creative Services

CREATIVES SERVICES PRODUCTION:

Provide an exemplary experience for our customers, vendors, and all stakeholders.

Manage a project on behalf of the Company, with an emphasis on clear communication across cross-functional teams, efficiency, and profitability.

Attend site visits with customers to develop floor plans and finalize build details.

Maximize the profitability of each project without sacrificing the primary goal of delivering a World-Class customer experience.

Develop winning Projects that align with the client’s objectives and creative vision.

Create comprehensive quotes that reflect the outcomes narrative.

Partner with Members of all departments as Cross-functional Teams to meet and exceed our clients’ expectations.

REPORTING:

Ensure each project has secured a signed quote or contract, been properly invoiced, and paid per the approved payment terms.

Ensure all expenses related to each job are accurately reported and correctly reconciled promptly.

Ensure all builds and deliverables are on time and within budget

Inform your supervisor of potential problems or opportunities to improve the project.

Provide communication with fast response times to the client and other stakeholders.

JOB CHARACTERISTICS:

The Creative Services' Project Manager is held accountable for results across multiple, simultaneous projects.

Directive leadership to assure business results are achieved.

Authoritative, quick decision-making within the defined span of control.

Based on accepted quality standards, policies, and procedures, it is also important to train others to make correct decisions.

Delegation of details as necessary, with follow‑up on timeliness and quality to ensure quality standards are met.

Creative problem‑solving and innovation across varied areas of scenic, prop, and print fabrication.

The ability to efficiently prioritize in a deadline‑driven industry and fast‑paced environment.

Rapport and relationship building with a strategic focus on achieving results.

JOB QUALIFICATIONS:

4+ years of relevant experience in event planning and account management.

Minimum 1 year in scenic, woodwork, metalwork, or prop shop experience.

Expert-level written and verbal communication skills

Polished, professional demeanor; projects confidence and enthusiasm for the business

Proven success in a client-facing capacity

Demonstrated history of establishing and maintaining effective working relationships across a diverse cross-functional team

Must be proactive with the ability to work both independently and with multiple teams

Organized with the ability to prioritize and manage time efficiently with close attention to detail

Ability to work on strict deadlines and in high‑pressure situations

Preference is given to candidates with a demonstrated knowledge of Scenic Carpentry, Scenic Painting, Printing, and Metalwork, as it relates to the production of elements for an event.

A working knowledge of:

Google Office Suite

Asana (bonus) or similar project management software

Flex Rental Solutions (bonus)

Basic drafting software (SketchUp, Vectorworks, Illustrator, CAD)
