Litigation Legal Secretary – San Francisco

Weintraub Tobin is an innovative provider of sophisticated legal services to businesses, individuals, emerging companies, and nonprofits. With locations across California, over 80 attorneys assist clients in areas such as corporate law, finance, tax law, labor and employment, real estate, intellectual property, entertainment, and digital media. We focus on building trust-based relationships, supporting communities, and developing deep expertise. We are seeking a full-time (37.5 - 40 hours/week), experienced Litigation Legal Secretary for our San Francisco office. The role requires thriving in a fast-paced environment, multitasking, and providing high-quality support to attorneys and clients. This position is on-site for the first 90 days, with a potential hybrid schedule afterward.

Responsibilities
  1. Manage attorney calendars, including scheduling conferences, depositions, travel, court appearances, pleadings, and evidence gathering.
  2. Format, input, edit, retrieve, copy, and transmit legal documents and data, ensuring timely completion of high-priority items.
  3. Prepare documents for court filings, discovery, arbitration, mediation, and hearings.
  4. Sort and process incoming and outgoing mail, ensuring timely delivery.
  5. Draft letters and documents, coordinate with couriers, court reporters, experts, and prepare courtroom visuals; handle expense reports.
  6. Communicate with clients and attorneys, follow up on assignments, and know when to escalate matters.
  7. Maintain calendar and deadline reminder systems.
  8. Complete conflict checks, screening, and new matter request forms.
  9. Maintain and review client and general files, preparing for storage or closure.
  10. Provide excellent client service and maintain confidentiality.
  11. Input and review billable time entries.
  12. Handle phone calls, emails, faxes, photocopying, and document assembly.
  13. Assist other secretaries and perform additional duties as needed.
Skills and Abilities
  • 7-10 years of legal secretary experience with litigation expertise.
  • Knowledge of federal and state court procedures, including e-filing.
  • Familiarity with arbitration/mediation filing requirements (AAA, JAMS).
  • Advanced proficiency in Microsoft Office Suite.
  • Typing speed of 50 wpm.
  • Strong drafting, proofreading, organizational, and communication skills.
  • Reliable attendance and punctuality.
  • Attention to detail, accuracy, analytical, and problem-solving skills.
  • Client-focused with the ability to multitask and work under pressure independently.
