Responsibilities

  • Provide administrative and litigation support to attorneys, manage case files and calendars.
  • Schedule depositions, hearings, conferences and coordinate travel.
  • Open new matters, run conflicts checks, and manage intake documentation.
  • Prepare, format and proofread pleadings, correspondence, and legal documents.
  • File documents in state and federal courts and maintain electronic files.

Summary

We are seeking an experienced Litigation Legal Secretary to join a strong team and an excellent firm culture! Candidates should have experience supporting teams involved in work on transactional matters, such as real estate transactions, contracts, and other business-related legal activities.

  • Provide comprehensive administrative and litigation support to attorneys, including organizing and maintaining case files (paper and electronic), preparing expense reports, processing vendor invoices, managing attorney calendars, scheduling depositions, hearings, conferences, and coordinating travel arrangements.
  • Maintain accurate daily workflow and ensure all time sensitive tasks are completed in accordance with Missouri court rules and firm procedures.
  • Open new clients and matters by running conflict checks, preparing engagement letters, and ensuring all required intake documentation is completed and properly stored.
  • Maintain updated client contact information and ensure compliance with firm onboarding protocols.
  • Draft, format, proofread, and finalize routine and complex correspondence, pleadings, discovery documents, and other legal materials with a high degree of accuracy.
  • Prepare and finalize attorney dictated correspondence and legal documents using digital transcription tools, ensuring consistency, proper formatting, and timely turnaround.
  • Convert, organize, and format documents for internal use, production, and filing.
  • Calculate, calendar, and track all court deadlines, including those governed by Missouri and Illinois Supreme Court Rules, local circuit court rules, and federal rules.
  • Prepare, format, and file pleadings and other documents through Missouri Case.net e filing, Odyssey Illinois, PACER, and other federal court systems.
  • File documents in Missouri and Illinois state courts, federal district courts, courts of appeals, and the Supreme Court; maintain familiarity with current filing procedures and rule changes.
  • Communicate with clerks, court staff, and judicial assistants as needed to confirm filing requirements, scheduling, and procedural updates.
  • Maintain organized electronic files within iManage, ensuring all documents are properly time stamped, named, and stored in the correct folders.
  • Upload and categorize email correspondence, discovery materials, and attorney notes; track file related costs and ensure accurate recordkeeping.
  • Manage both paper and electronic filing systems to ensure quick retrieval and compliance with firm retention policies.
  • Conduct basic legal and factual research using approved databases and court resources.
  • Assist attorneys with trial preparation, discovery organization, exhibit management, and other litigation tasks as assigned.
  • Support attorneys with special projects, trial preparation, hearing logistics, and case specific needs.
  • Perform other duties as assigned to support the litigation team and ensure efficient case management.
Required Qualifications
  • Qualified candidates will have at least 5-10 years’ experience as a litigation legal secretary and proficiency in Microsoft Word, Outlook, Excel, and document management systems.
  • The candidate should be confident, highly organized, resourceful, and detail-oriented.
  • Candidates should demonstrate an ability to be proactive, assertive, and willing to work independently and collaboratively with other legal assistants, paralegals, and attorneys to meet deadlines and provide excellent internal and external client service.
  • Candidates should be able to communicate clearly and concisely with a solution oriented approach.
  • High School Diploma or GED required; Bachelor’s degree preferred.
